Workday Transition

Please excuse references to Banner, BannerWeb and JobX as we continue to update our policies and web pages to reflect our transition to Workday.

Required Forms

To legally work and be employed by Smith College you must complete the required forms below. If you have any questions on how to complete these forms, please consult with a parent, guardian or tax consultant. The payroll staff is not authorized to give tax advice.

Entering students

Remember to bring your original documents to Central Check-In (CCI). Photocopied documents are not acceptable.

1. Employment Eligibility Verification (I-9)

The Form I-9 must be completed within three business days of the start of employment. Entering students only need to complete Section 1; the payroll staff will complete Section 2 at Central Check In (CCI).

2. Federal Tax Withholding (W-4)

Federal tax witholding rates are based on the information provided in the Form W-4.

3. Massachusetts Tax Withholding (M-4)

The Massachusetts Employee’s Withholding Exemption Certificate (Form M-4) allow students to claim exemption from tax withholding if they are full time students and will earn less than $8,000 in the calendar year. Check Box D to claim this exemption.

4. Direct Deposit Authorization

Direct deposit of payroll funds is required for all employees. If you are an entering student and do not have a bank account, you will have the opportunity to open one at CCI. There will be several local banks and credit unions available to you. This form is designed to accommodate multiple accounts. If you only have one account, complete the first line, "account to deposit net pay."

On pay day, your pay will be direct deposited to the financial institution(s) you designate. The payroll office will notify employees via their Smith email address when their funds will be available at their financial institution and that the pay stub is available for viewing or printing on BannerWeb.

Student Wage Rates

Departments are not authorized to override the wage rate designated by the Office of the Controller.

BannerWeb is a secure online system that provides employees with access to benefits, payroll and tax information, Web Time Entry, and address and emergency contact information. The system can be accessed from any computer with an Internet connection and a compatible Internet browser.
