Event Planning
The Smith College Events Management Office (EMO) works with Smith faculty and staff and external organizations to plan and execute high-quality, successful events on and off campus. Whether you’re planning a small wedding or a major conference, we’re here to consult with you on your proposed event and dates, conduct an initial review, and offer ideas and recommendations. We can supply event and budget checklists, floor plans, a planning template and logistical advice to meet a wide variety of needs.
Plan an Event
The Events Management Office (EMO) assists faculty and staff and external constituents in the event planning process, including space reservation, set-up, and resource and service requests. We oversee annual Smith events such as Central Check-In, Opening Convocation, Rally Day and Commencement.
The EMO will:
- consult on large internal (Smith) events, conferences, receptions, lectures
- provide guidance to faculty and staff in using the 25Live scheduling software
- answer questions about resources/services needed for an event
- assist an external organization in planning an event
- assist with sponsoring an event with an external organization
Get Started
The steps required for planning an event are different for Smith faculty and staff and external organizations and individuals.
Student Events
Students who wish to plan an event must contact the Office of Student Engagement.
Planning Your Virtual Events
See our guidelines for scheduling virtual meetings and other events by reserving a new “location” in 25Live called Virtual Event. Learn more on our Forms & Resources page.
Give Back, Plate by Plate
Planning an event on campus and think you’ll have extra food left over? Contact the Smith Food Rescue Network to see about donating your leftovers to members of the Northampton community who may be in need. Donations—totaling more than 22,000 pounds since the program’s inception in 2022—most often go to Manna Kitchen, but the Rescue Network may have other local locations in mind for your food.

Assistive Listening Devices
Assistive listening devices must be made available in any space that requires amplification. Please review the guidelines below.
