Webteam Workflows

Standardized request intake, triage, delivery, review, and closure for web, email, security, and emergency updates.

Web Updates and Site Revisions

Website

  1. All requests come through update request form: https://www.smith.edu/website-update-requests and flow to Airtable.
  2. Initial triage dependent on type of request:
    1. Simple updates — Shawn Prairie (or any team member as backup)
    2. Document assessment (if relevant) — Ashavan consulted if remediation indicated
    3. Site Consult or restructuring requests — Linnea Duley (or Mike as backup)
  3. Edits or post-consult restructuring completed.
  4. Review and sign-off requested from submitter.
  5. Additional revisions if needed.
  6. Close ticket.

Email Communication Requests

Email

  1. All requests come through email request form: https://www.smith.edu/email-requests and flow to Airtable.
  2. Form submits to Carolyn, Lil, Jason, and Mike.
  3. Initial triage dependent on type:
    1. Carolyn/Lil determine Salesforce “designed” vs Gmail send.
  4. Design team contacted if custom assets required.
  5. Jason preps email in either Salesforce Pardot or Gmail and routes proof to appropriate parties – typically Lil, Carolyn, Heather Bell and/or other stakeholders – Linnea is a proofing backup and Mike is a send/preparation backup – Jason and Mike also serve as backups for eDigest and Notes From Paradise sends as needed
  6. Revisions implemented as needed.
  7. Final sign-off requested.
  8. Message sent to intended audience(s).
  9. Close ticket.

Drupal Security Updates

Drupal

  1. Quarterly updates in collaboration with Bright Plum (critical exceptions apply).
  2. Pre-deployment regression review and third-party notification if needed.
  3. Revisions requested if issues discovered.
  4. Sign-off by Mike and Jason (plus stakeholders if warranted).
  5. Updates deployed.

Collaborative - Campus Emergencies or Inclement Weather

Urgent

  1. Notification from Tatum (or designate) outlining the situation.
  2. Appropriate alert banner deployed (Mike primary; Linnea/Jason backup).
