TRANSFERRING AND EXPORTING YOUR GMAIL, DRIVE FILES, AND OTHER GOOGLE DATA
Copying and transferring your Smith email and My Drive files to a personal Google account takes only a few steps when you use Google’s transfer tool.
To transfer your Drive files to an application or service outside of Google, you need to download (export) your data using the Google download service (aka takeout) and then import the files at a later time. Using the takeout service, you can also download your data from other Google services, such as your Google Contacts and Calendar events.
All of these tools are available from your Google Account dashboard for your Smith account.
Important Considerations Before You Begin
Storage Amounts: Your Smith account has had unlimited storage but a personal Google account is limited to 15 GB. You may have to do some clean up, or purchase more space from Google. To view details on your storage usage, click your Google Account icon in the upper right-hand corner, click the Google Account button (your Smith email address is displayed above the button), and scroll to the Account storage section. To see additional details of the space currently used for Drive, Gmail and Photos, click Manage storage.
Processing Time: If you have a large amount of data, the processes may take up to several days to complete according to Google Support. Once you initiate the transfer or download, you will be able to continue to do your work and even log out. However, the new files may not be available for some period of time. Plan accordingly.
Transfer Ownership: If you own Drive files that you created and shared as part of your job, special project, or student organization, you might want to transfer ownership of those files, because these files are deleted from everyone you shared with once your account is expired.
Shared with me: Files shared with you are not part of the Google transfer since you are not the owner. You will have to manually download those files and folders to your computer or storage device.
COPY AND TRANSFER YOUR GMAIL AND DRIVE FILES TO A PERSONAL GOOGLE ACCOUNT
To transfer your Smith mail and Google Drive files that you own to a personal Google account, you can use the Google transfer service available from your Google account dashboard.
This feature will automatically transfer your Smith Gmail and Drive files you own and upload them to your personal Google account. If you do not have a personal account you can create one for free.
To access the Google transfer tool:
- Make sure you’re logged in to your Smith Mail Google Account.
- Access the tool from the myaccount.google.com or the Google Account icon in the upper right-hand corner then Manage your Google Account.
- From the home page click Start Transfer. Follow the three instructions.
- Enter a destination account
- Verify the destination account
- Select the content to copy and transfer.
- Be patient. The processes may take up to several days to complete according to Google Support, particularly if you have a lot of data to transfer.
