ZOOM


Zoom is a web-based service that allows you to collaborate with colleagues and classmates on and off campus. Zoom provides audio and video conferencing, chat and screen sharing. Everyone with a Smith Mail login automatically has a Zoom account allowing them to schedule and host meetings; participants do not need Zoom or Smith accounts.

Features: Meetings, Cloud Recordings ,Webinars , Zoom Rooms , Wireless Projection , Personal Meeting Room, and Breakout Rooms.

Designed For: one-on-one to large group meetings to webinars

Get Started:
To join and host Zoom Meetings, you will need the Zoom client (aka the Zoom app). To install the Zoom client on your computer, visit zoom.us/download. Under Zoom Client for Meetings, select Download.

Meetings

Use Zoom to hold meetings with two participants to 50-plus participants with any internet device.

Features: HD video and high quality audio, chat, shared whiteboard, screen sharing, participant management, record, sessions and advanced scheduling.

Designed For: one-on-one to large group meetings.

Get Started:

To schedule or start a meeting, launch the Zoom app on your device, or login at smith.zoom.us. To join a meeting, simply click the link in your invitation.

How it works: The host starts or schedules a meeting and invites the participants. All participants can share video, audio, and their screens. They can participate in the chat, on the whiteboard or in the break-out rooms.

Cloud Recordings

  1. Sign in to your Smith Zoom account via the web portal, smith.zoom.us

  2. From the navigation menu on the left side, select Recordings. A list of your Cloud Recordings and Local Recordings (if you have any) will display. Use the options at the top of the page to view a list of your cloud or local recordings.

  3. To search for cloud recordings by meeting ID, topic, or other options, use the options listed above the recordings list.

To download a Cloud recording:
  1. From the list of recordings, select (...) next to the meeting recording you want to download and then select Download. This option automatically downloads all files in the recording as separate files.

  2. Once the download completes, organize the downloaded files based on your needs.

To delete a meeting recording:
  • To delete cloud recordings: From the list of Cloud Recordings, select (...) and then select Delete from the options.

  • To delete local recordings: Local recordings were stored on a local computer after the recording was complete. To delete those files, locate the local copies and delete them from the computer.

 Webinars

Webinars are the online equivalent of a large lecture. A small group of presenters share content with potentially hundreds of participants.

Features: HD video and high quality audio, chat, shared whiteboard, screen sharing, participant management, record sessions and advanced scheduling.

Designed For: One to 100 presenters and 500 participants.

To Host a Webinar: You will need specific account privileges which can be requested by filling out the Zoom Account Permissions Request form (sign in with your Smith username and password). Once approved, sign in at smith.zoom.us, then click My Webinars on the left of your Zoom screen.

Note: To be granted a webinar license, your job must require you to organize webinars or your supervisor will need to confirm your request.

How it works: The host controls who has presenter access and can control the screen. All participants can ask questions via the chat or Q&A features or raise their hand to ask the host to turn on their mics.

Zoom Rooms

Zoom Rooms are conference or classroom setups with a dedicated computer running Zoom and a camera and microphone/speaker system installed. In such a room you can walk in and start a conference with the touch of a button.

Note: Smith IT is in the process of installing three such rooms: Stoddard Conference Room, Alumnae House Boardroom and HR Conference Room.

Features: Dedicated computer screen, camera, microphone and speakers, one touch control for starting Zoom room system. Meetings can be scheduled in advance or started quickly.

Designed For: Conference rooms and meeting rooms.

Using Zoom for Wireless Projection

Wireless projection through Zoom is now available in many of our classrooms. If you are in a room that is not yet setup, you can run a zoom meeting from the classroom computer and join that meeting from your laptop or mobile device.

Features: Sharing screen content from any computer or mobile device.

Designed For: Any classroom or conference space with a dedicated computer and screen.

Get Started: Choose Zoom Screen Sharing on the touch panel. Run the Zoom app on your computer and log in with your Smith username and password. Choose Share Screen and enter the code.

Personal Meeting Room

Your Smith account has a meeting ID that never changes.

Features: Your own Zoom space to share with whomever you want.

Designed For: Individual account holders.

Get Started:Login with your Smith network username and password at smith.zoom.us. Choose My Meetings on the left to see your Personal Meeting Room tab.

Breakout Rooms

Any Zoom meeting can be temporarily divided into multiple smaller group sessions.

Features: Small group work where the host can join individual breakout sessions. The large group can reconvene at anytime.

Designed For: Classrooms and working sessions.

Get Started: Start your meeting, then click Breakout Rooms, on the Zoom Taskbar at the bottom of your screen.
