Updating the Name on Your OneCard


Returning students, faculty, and staff: You are now able to exchange your current OneCard with your legal name for a new one with the first name you want to use. Hereís what you need to know to do that. (Entering students who had previously provided the first name they want to use have received a OneCard with that name by default.)

If youíre a student:

1)  First, you need to have the first name you are using entered into Banner.  This is a required step before exchanging your card. You can check this by looking at your entry in the Smith online directory. If you already have a name on file other than your legal name, it will be displayed in your online directory entry.

2)  If you already have the name you want to use entered in Banner, you are good to go. You can go to the IT Service Center in Stoddard 203 during normal business hours and request a new card.

3)  If you are not set up yet in Banner with the name you want to use, the Registrarís office can help. Go to their office during regular business hours, show them your current OneCard, and then they can update the name you want to use by making a change in Banner. Once this is completed, you can go the IT Service Center in Stoddard 203 during regular business hours the next business day to request your new card. (This delay is because of the way data changes are shared between Banner and our OneCard system.)

When you arrive at the IT Service Desk, the staff on duty will ask for your current OneCard. They will use it to validate your identity. Then they will dispose of your old card and give you a new one that lists the name you want to use. Please note that the Smith online directory, which is visible on and off-campus, will also include the new name once you make this change.

If youíre faculty or staff:

1)  First, you need to have the name you want to use entered in Workday. This is a required step before exchanging your card. You can check this by looking at your entry in the Smith online directory. If you already have a first name on file other than your legal name, it will be displayed in your online directory entry.

2)  If you already have the name you want to use entered in Workday, you are good to go. You can go over to the IT Service Center in Stoddard 203 during regular business hours and request a new card.

3)  If you do not yet have the name you want to use entered in Workday, you will need to set that up. Instructions on how to do this are available here (this links to a PDF with instructions; Smith login is required for access). Once you have done this, you can go to the IT Service Center in Stoddard 203 the next business day to get your new OneCard. (This delay is because of the way data changes are shared between Workday and our OneCard system.)

ITS will provide one free OneCard exchange for the purposes of updating the name you wish to use. Additional card exchanges or replacements for other purposes (e.g. lost cards) will continue to be provided for a $20 fee.
