Smith College has a membership in the Massachusetts Higher Education Consortium (MHEC) that allows you access to over one hundred contracts that can save you valuable time and money.
To look up contract information and vendors at the MHEC website, you need to create a log-in. The MHEC contracts are open to member institutions only - including Smith College. To create a log in, go to http://www.mhec.net/ select Member Login/and click on the link provided for those who do not have an account already. Once you have created your account and logged in, go to the Search tab, Search the Database, and click the drop-down arrow next to Vendors - there they are! Use the other drop down menus to narrow your search and get the results you need.
Car Share, Car Rental and services including Zipcar & Enterprise
Smith College is enrolled in the MHEC vehicle rental agreement with Enterprise Holdings which includes National.
The vehicle rental must be paid for with a credit card at the time of the transaction.
Please adhere to the Five College Risk Management instructions for renting a car. Some of the Five College policies include, making sure you are credentialed, declining the insurance for rental in the United States, reserving the vehicle under the employee name and the college's name and signing with the employee name and the college's name. At this time, campus offices may ask local companies for limo pricing. However, any campus user who is using a limo service must verify that the limousine company is licensed as a livery company and is insured as a livery company.

Copier/Multi-Function Device (MFD) Campus-wide Fleet Program
Connecticut Business Systems (CBS) is the Smith College primary vendor for Copier/MFD's. Click here to install print drivers.
For color copier/MFD departments, please make sure your print default is set to black and white when printing. If your default is set to color, your department will get charged for color even if the document is only black and white.

Copy and Print Services is our primary supplier for printed business cards and copying and mailing needs.
Hadley Printing is the vendor used for printed college stationery.
There is no charge for proofs or delivery for Hadley Printing products. Departments may order products with a purchase order or by mail, fax, phone or e-mail. The normal lead time is 10 days, and rush orders will be accommodated on an as-needed basis.

When buying items from Costco for Smith College related purchases, please submit a Requisition Form to the purchasing department.
Upon receipt of the completed and signed requisition, Purchasing will issue a purchase order (PO). The end user can then pick up the PO and Costco membership card to take to Costco.
When you return from Costco, you will be required to bring the Costco membership card back to Purchasing.
After you bring the membership card back to Purchasing, you are responsible for sending the receipt to accounts payable in College Hall for payment. Please remember to reference the PO number on the receipt.

Furniture Reuse:Furniture items are no longer being stored at Fort Hill. Other spaces are being considered and the campus will be notified when an alternate storage space is determined. For furniture that is in disrepair or bad shape, please submit a work order to Facilities Management for the removal and disposal of the furniture. For Furniture that is in excellent condition and can be reused, please contact Linda Hiesiger in Purchasing, LHiesige@smith.edu, and Linda will try to match up the furniture with a needy department.

Beginning June 14, 2010, individuals will be required to use their procurement card for payment to WB Mason. WB Mason will require a Pcard number for payment at the time of purchase. Please remember to print your receipt at that time.
