Smith students, the following information is just for you:


GRADUATING SENIORS, Take Note!


Here's what's going to happen to all your Smith accounts:

  • Your BannerWeb account will remain active indefinitely.

  • Your Moodle account will be removed from the system the 3rd week in August.

  • Your Novell Network and GroupWise accounts will remain active until September 30th.

  • If you have a Sophia account, your account will remain active until September 30th. To request an extension, send an email message to jcrowley@smith.edu.

  • If you have a RefWorks account, see the RefWorks section below.

  • If you have a Windows computer,  be sure to use the Add/Remove Programs tool to uninstall Cisco Clean Access from your computer after you leave campus.

Life after GroupWise..

  • To insure uninterrupted access to your email and the Internet, plan to sign up with an Internet Service Provider (ISP) in your local area as soon as you leave campus.

  • Starting in mid-July, visit the Alumnae Association website to sign up for your lifetime email-forwarding account, a free service hosted by the Alumnae Association:  http://alumnae.smith.edu

    Before you can use the email-forwarding service, you must first set up an email account with a non-Smith email provider (e.g., yahoo.com, gmail.com, hotmail.com, or any paid email provider).

    The email-forwarding service then gives you a "username@alumnae.smith.edu" address, and forwards all messages sent to that address to your background email address.

    If you later change your background email address, just notify the forwarding service so that messages sent to your "alumnae.smith.edu" address will continue to reach you.

  • Did you know you can take your saved email messages and address books with you when you leave Smith by installing the GroupWise client in "Remote Mailbox" mode?

    Or, that you can use GroupWise "rules" to simplify the forwarding of saved GroupWise messages to a new email address?

What if I have references stored in a RefWorks database?

As long as your GroupWise account remains active, you will be able to use Smith's subscription to access your RefWorks account by going through the library's "proxy" server:

If you plan to access your account through another subscriber after graduation, and/or want to save your collected references in a format you can use with a different database program, please follow the instructions below before your GroupWise account expires.

If your GroupWise account has expired and you need your saved RefWorks references, please contact the User Support Center at 413-585-4487.

Accessing your RefWorks Account through a Non-Smith Subscription

If, after you leave Smith, you will be enrolled at a college or university with a RefWorks subscription, or employed by an organization with a RefWorks subscription, you can move your account.

Note: You can also purchase an individual subscription directly from RefWorks (current cost, $100/year.)  For more information, go to: http://www.refworks.com/content/contact.asp

To move your account, first save a backup of your RefWorks database while you still have access to your account via Smith's subscription:

  1. Go to the proxy server login page and enter your GroupWise username and password, then log in to your RefWorks account.
  2. On the Tools menu, select Backup/Restore.
  3. Use the Backup option to save a backup of your database as a .zip or .rwb file.
  4. Save the backup file on your hard drive or a portable storage device.

Once you have access to your account through a different RefWorks subscription:

  1. Go to http://www.refworks.com and log in to your RefWorks account, or use the login page provided by your new institution.
  2. On the Tools menu, select Backup/Restore.
  3. Use the Restore option to add the .zip or .rwb file to your new account from your hard drive or portable storage device.

Saving your RefWorks References for Use with Another Database Program

RefWorks offers several export options that allow you to use save your references for use with other programs. These options (available in Tools/Export References) are:

  • Bibliographic Software (EndNote, ProCite, Reference Manager). Saves the database in a tagged format that can import into another bibliographic management program. It is the format sometimes called the RIS Format or Reference Manager Format, and can be imported into Reference Manager, ProCite, EndNote, or any other program that supports the RIS Format.

  • BibTeX - RefWorks ID. Saves the database in the file format used with the LaTeX document preparation system.

  • Citation List. Creates a list to use when writing your paper offline. The format includes the RefID, Authors Primary, Title Primary, and Publication Year only. This format is probably not usable by another bibliography manager.

  • RefWorks Tagged Format. Saves the database in a format similar to the bibliographic management software format. This is a tagged format. However, the data layout is patterned after the RefWorks database, as opposed to tags that match with other bibliographic programs. Use this format for backup purposes and for sharing data with other RefWorks users.

  • Tab Delimited. Saves all your data in an organized manner with each field separated by a tab. It may then be loaded into other programs that are designed to read this type of format.

  • XML. Use this format to create your export file in an XML format.

Account and Password Update for Returning Students

Unless you are a graduating senior, your Novell Network, GroupWise, Moodle, BannerWeb, and Sophia accounts will all remain active through the summer and into the fall.

If your Network/GroupWise password expires, you should be prompted by the system to reset it. Choose a new password that is 6-8 characters long and a mix of letters and numbers. Remember that Novell won't allow you to re-use a password that you've used before.

GroupWise Cleanup

Leaving a lot of old messages in your GroupWise mailbox can increase your GroupWise startup time and decrease your overall system performance. Your best strategy is to delete new messages as soon as you read them or move them into another mail folder, and to clean out your Sent Items folder frequently.

Prepping Your Computer for Off-campus Use

If you're planning to use your computer off-campus this summer and you'll be connecting to the Internet, please read on:
  • If you will be connecting to the Internet through broadband or DSL, please check with your Internet Service Provider (ISP) for specific TCP/IP settings.

  • If you will be connecting to the Internet with a cable modem, don't change anything. Your network card must be enabled for you to use the cable modem.

  • If you will be connecting to the Internet with a telephone line and regular modem and your computer is running Windows XP or Vista, don't change anything. Your operating system will automatically adjust to the presence or absence of a network connection.

  • If you will be connecting to the Internet with a telephone line and regular modem and your computer is a Macintosh:

    • Go to Control Panels : TCP/IP.
    • Change the setting for Connect Via to "PPP".
    • Change the setting for Configure to "Using PPP Server".
    • Contact your Internet Service Provider (ISP) to find out the correct entries for Name Server Address and Search Domains.

Buying a new computer this summer? Please read this first!

If you're thinking about buying a new computer this summer, please keep in mind the minimum hardware and software configuration standards for all computers that will be connected to the Smith Residence Network (ResNet). These standards were developed to ensure that all students can take full advantage of ResNet and our networked software applications.

If you plan to use your new computer on ResNet, be sure it meets the recommended minimum standards specified below:

*Required. All students who connect to ResNet using a Windows computer must have McAfee VirusScan for Windows installed on their computers; otherwise, you will not be able to connect to the network via Cisco Clean Access. You can download a free copy here.

Since other anti-virus programs are known to conflict with McAfee, be sure to uninstall any other anti-virus programs you may have (Norton, Sophos, trial version of McAfee, etc.) before installing McAfee.


Note that your computer must have a twisted-pair Ethernet network adapter to connect to ResNet. We recommend that you buy a computer that comes with an integrated or built-in network adapter.

If you buy your computer from the Smith Computer Store, it will be network-ready when you pick it up. The store also sells network adapters at educational-discount prices. If you wish to add an adapter to a computer you already own, we recommend that you buy the adapter and have it installed at your local computer store before you come to campus, so you can start using ResNet with minimal delay.

IMPORTANT: ITS Technical Services performs authorized service only on Dell and Apple computers purchased through the Smith Computer Store, and serves as a shipping depot for Smith-purchased computers that must be repaired by the manufacturer.

Dell and Apple computers purchased through the Computer Store meet the recommended requirements for use on the Smith network. The Store's Dell computers come with a 4-year complete care warranty that covers accidental damage as well as manufacturer's defects. The Store's Apple computers come with a 3-year warranty.

These computers have been approved by Smith's Committee on Educational Technology for on-campus use by Smith students, faculty, and staff. They are known to work well on the Smith network with our standard software and campus systems, including Blackboard and BannerWeb.

Your Ethernet Cable - Don't Leave Smith Without It!

Returning students, remember to take your Ethernet cable with you when you leave campus. Students are responsible for providing their own cable, so be sure to bring yours back to campus in the fall.

Cables are available for purchase at the Smith Computer Store or at any store that sells computer products. A 25-foot Ethernet cable costs $10.00 at Smith.

Sophomores: If you'll be JYA next year, please take your cable with you when you leave campus this spring, and bring it back to Smith when you return.
