SAVING AND RESTORING WORD 2007 SETTINGS

If you have ever added new words to your Word dictionary, created or changed your auto-correct settings, auto-text settings, default page margins, or default font, you should make a copy of your Templates folder (which contains the Normal.dotx file) and store it on your H: drive.

Part 1. Save your Office 2007 settings before you get your new computer.

After printing these instructions, complete Part 1, then return to Step 7 on the main instructions page.


Part 2. Restore your settings in Office 2007 after you get your new computer.

After you receive your new computer, return to this page and follow the instructions in Part 2 to use your saved files to restore your settings.

Part 1. Save your Office 2007 settings while you still have your old computer.


If you have you have customized Word 2007, created templates and or customized the dictionary, you should make a copy of these items and store them on your H: drive. We also recommend that you record your default margins and font settings.

Default Margins and Font:  Open a blank Word document and write down the default font and your margin settings. You may need to reset this manually in Office 2007. 


Template, UProof and Document Building Blocks Folder:   To save these settings you will need to copy the Templates, UProof and Document Building Blocks folders to your H: drive. 

  1. Open either Windows Explorer or My Computer the default location for these folders should be as follows:
    C:\Documents and Settings\(username)\Application Data\Microsoft\   (username could be smith or your name)

    Note: Any time you do not see these folders in the expected location, go to Tools, Folder Options, View and click on Show hidden folders and files.

  2. Click once on the Document Building Blocks, holding down on the control key, click the Templates folder (highlighted) , again while holding down the control key, click once on the UProof folder. (note all three folders should be highlighted)

  3. From the Edit menu select Copy.


  4. Change your location to your H: drive and paste the folders there.


Quick Access Toolbar:  If you have customized the Quick Access Toolbar with several personal settings then you might consider placing this folder on your H: drive so you can restore it to the new computer. Otherwise, it is simple to recreated these settings.

  1. Open either Windows explore or My Computer the default location for this folder she be as follows:
    C:\Documents and Settings\ username \Local Settings\Application Data\Microsoft\     (username could be smith or your name)


  2. Click once on the Office folder (highlighted), from the Edit menu select Copy.


  3. Change your location to your H: drive and paste the folder there.

After completing Part 1 and printing these instructions, return to Step 7 on the main instructions page.

Part 2. Restore your settings in Office 2007 after you get your new computer
.

Your new or upgraded computer will come with the Office 2007 defaults.  If you copied your Document Building Blocks, Templates, UProof  and Office folders to your H: drive as a backup, you are now ready copy them to your hard drive.

Default font, margins, and line spacing




 

Restoring the Document Building Blocks, Templates and UProof folders

  1. Close any Office application windows that might be open.

  2. Open either Windows Explorer or My Computer and navigate to your H: drive. Holding down the Control key which will allow you to select the following folders: Document Building Blocks, Templates and UProof   Press Ctrl+C to copy the folders or right-mouse click one of the highlighted folders and select copy from the menu.

  3. Navigate to: C:\Users\Smith\AppData\Roaming\Microsoft\

  4. Right-mouse Click in a blank space and select Paste from the menu.  Since these folders are there by default you will be prompted to replace them.  Note you need to select the item that is coming from your H: drive to copy and replace.   Examples below, you will have to do this several times, for each folder, plus folders within a folder.

    Example of the Copy Window:  Note the first item is pointing to copy and replace the Normal from the H: drive.  This is one large button command.

Restore the Quick Access Toolbar


  1. Open either Windows Explorer or My Computer and navigate to your H: drive.  Click once to highlight the Office folder.  Press Ctrl+C to copy the folder or right-mouse click on the highlighted folder and select copy from the menu.

  2. Navigate to: C:\Users\Smith\AppData\Local\Microsoft\

  3. Right-mouse Click in a blank space and select Paste from the menu.  Since this folder is there by default you will be prompted to replace it.  Note you need to select the item that is coming from your H: drive to copy and replace.   Examples above, you may be prompted several times, for each folder, plus folders within a folder.

Reset Your Default Font, Margins, and Line Spacing

Office 2007 sets the Word 2007 defaults as follows:

  • Font - Calibri 11
  • Margins - 1” on all sides
  • Line spacing - 1.15 lines, with an extra 10 pts after each paragraph

If you prefer different defaults, follow the steps below to change your settings to match your preferences. (Note that if you copied your Normal template to the new location, your default font and line spacing should be restored, but your margins may still be off.)

Default font:

  1. Open Word 2007 and click on the Home tab.

  2. In the Font grouping, click on the dialog launcher button in the lower right corner, as shown below.



  3. In the Font dialog box, change the font name and size to your preferred settings.

  4. click on the Default button to save these settings as your defaults.

Default margins and/or line spacing:

  1. Click on the Page Layout tab.

  2. In the Page Setup grouping, click on the dialog launcher button in the lower right corner.



  3. In the Page Setup dialog box, change the margins to your preferred settings.

  4. If you wish your default spacing to be plain single spacing, in the Paragraph grouping, click on the dialog launcher button in the lower right corner:

    1. Change the Line Spacing from Multiple to Single.

    2. Change the Spacing After from 10pt to 0pt.

  5. Click the Default button to save these settings as your defaults.
