SHARING A GROUPWISE MAILBOX OR CALENDAR ON A MAC

Members of a work group often need to be able to access each other's GroupWise mailbox or calendar. For such sharing to be possible, the owner of the account to be shared must first grant proxy rights to each sharer.

Once proxy rights are granted, each sharer must add the account owner's name to their personal proxy list. From then on, each sharer can easily access the owner's account from within their own GroupWise window.

Assigning Proxy Rights to Another User

  1. Open GroupWise and select GroupWise, then Preferences.

  2. Select Security, then the Proxy Access tab.

  3. To add a user to the list, type the name in the Name field, enter the name of the person with whom you will grant proxy access. As in an email message, if you use the correct form of the person's name, GroupWise will automatically complete the name for you, and the Add User button will become active.

(If you don't know how a person's name is listed in GroupWise, click on the Address Book icon to the right of the Name field and look them up in the Novell GroupWise Address Book.)

  4. Click on the Add User button, and the user's name will be added to the Access list.

  5. Click on the name to select it, then use the checkboxes below the list to grant the desired level of access for that user. To grant rights to your calendar, use the Appointments row.

  6. Repeat steps 4-6 above for each person you want to add to your access list. Note that you can assign different types of access to different users.

Accessing Another User's Shared Account

To access another user's mailbox or calendar, they must first have given you proxy rights, then you must add their name to your personal proxy list.
  1. In the main GroupWise window, click on the person icon above your folder list.

  2. Select Proxy from the pop-up menu.

  3. In the Proxy window, replace your name in the Name field with the name of the person whose account you need to access. If you use the correct form of the person's name, GroupWise will automatically complete the name for you.

(If you don't know how a person's name is listed in GroupWise, click on the Address Book icon to the right of the Name field and look them up in the Novell GroupWise Address Book.)

  4. When the correct name is in the User Name field, click OK. Your GroupWise window should change to show the other user's mailbox. If you see an error message instead, the other user has not yet granted you access to their account.

  5. To return to your own mailbox, click on the person icon in the lower left and select your own name from the pop-up menu.

Whenever you need to access an account on your proxy list, just click on the person icon above your GroupWise folder list and select the appropriate name from the pop-up menu.
