GroupWise WebAccess is the web-based client for the GroupWise email system. As its name implies, GroupWise WebAccess allows you to access everything in your GroupWise account via the Internet (except archived messages.)
Once your GroupWise username and account are established, all messages addressed to username@smith.edu (preferred format) or username@email.smith.edu will be delivered to your GroupWise mailbox.
This document explains how to access your mailbox via GroupWise WebAccess and perform basic mailbox and account management functions. For other useful information, see What's New in GroupWise WebAccess 8.
For all other usage questions, see Novell's GroupWise WebAccess 8 Client User Guide.

Connecting to GroupWise WebAccess
You can access GroupWise WebAccess on any computer connected to the Internet. On campus, all faculty and staff offices, student rooms, and student resource centers have a direct Internet connection. Off campus, you can connect through any Internet Service Provider (ISP).
- Open a Web browser such as Mozilla Firefox or Internet Explorer.
- Go to the Smith homepage (www.smith.edu) and click on the GroupWise Web button in the lower left corner, or enter gwweb.smith.edu in the Address field of the browser.
- On the Web Services page, click on the Go button.
- When the Login box appears, enter your GroupWise username and password.

Note: Your GroupWise username is the same as your network username, and is typically your first initial plus the first 7 characters of your last name.
- Click the Login button to proceed with the login process.
IMPORTANT: On each WebAccess page, the Address field in your browser window shows you which of the six GroupWise Web servers you are attempting to access. (Servers are randomly assigned as people log on.)
In the Internet Explorer example below, the Web server is gwweb3.

If you have any trouble logging in, it may be because that specific Web server is down.
Try changing the numeral in the address field to any other number between 1 and 6 (for example, gwweb5) to see if you can log in to another Web server.
If none of the six servers allow you to log in, check the Server Status page to see if all the email servers are down. If they're not, call the User Support Center at 413-585-4487 for assistance.

Resetting Your Password
Once you're logged into GroupWise WebAccess, it's easy to reset your password:
- Click on the word Options at the top right of the page.
- Click on the Password tab.
- Enter your old password, your new password, and your new password again. (Passwords should be 6-8 characters long and may be any combination of letters and numbers.)
- Click Save.
IMPORTANT: Changing your password in GroupWise WebAccess simultaneously changes it for:
- The GroupWise desktop client
- The MessageScreen quarantine system
- Your Smith network (Novell Netware) account
- Your Moodle account
Monitoring Your Mailbox Size
The GroupWise system keeps track of the total volume of messages and attachments stored in your main mailbox and cabinet folders, plus your Sent Items, Work in Progress, and Trash folders.
The percentage of your allocated email storage space currently in use is displayed in the Mailbox Usage indicator, as shown below.

If your usage percentage begins to approach 70%, it's time to do some cleanup. To lower your usage percentage, select all the messages you are sure you don't want to keep and click on the Purge button. Be careful though, because the purge operation completely removes the messages.
Note that if you simply delete a message, it remains in your Trash folder for 14 days and is still counted in your mailbox usage percentage.
To select a continuous group of messages, click on the first one, then shift-click on the last one. This will select all the messages from your first to last click.
To select a discontinous group of messages, hold down the Control key and click on each message you want to add to the group.
What Happens if GroupWise Logs Me Out?
GroupWise WebAccess now automatically saves a copy of the message you are working on every 10-60 seconds. If you are timed out or GroupWise stops unexpectedly, when you log back in you will be prompted with recovery options.
Logging Out of GroupWise WebAccess
If you're using GroupWise WebAccess on a public computer, be sure to log out of your GroupWise session when you're done and close your browser window. This ensures that another user will not be able to access your GroupWise account.
Even on your own computer, it's always good to log out of your GroupWise session when you're done. This helps the GroupWise system work more efficiently for all users.
To log out of GroupWise WebAccess, click on the Logout button on the GroupWise toolbar.
