WHAT TO EXPECT DURING & AFTER THE MIGRATION


Your GroupWise account will remain active and accessible until the whole campus has been migrated to Smith Mail & Calendar. Your primary Smith email address will remain the same throughout: username@smith.edu.

After your account has been migrated, all new messages from on-campus senders will be delivered to both your GroupWise account and your Smith Mail account. However, all new messages from off-campus senders will be delivered only to your new Smith Mail account.


What gets copied from GroupWise during the migration process:

  • Your main mailbox

  • Your cabinet and all your personal email folders
    (Note that folders become "labels" in Smith Mail)

  • Any folders someone else shared with you
    (Current contents only; Smith Mail does not support shared folders)

  • Your personal distribution lists
    (Appear as "groups" in your Smith Mail Contacts list)

  • Your personal address books
    (Appear as "groups" in your Smith Mail Contacts list)

  • Any address books someone else shared with you
    (Current contents only; Smith Mail does not support shared address books. However, shared books can be recreated as "user-defined groups" in Smith Groups.)

  • Personal calendars

  • Your GroupWise archive
    (If requested and in a network-accessible location)

What doesn't get copied from GroupWise:  

  • Any calendar someone else shared with you, but...
    As long as the other person has also migrated to Smith Mail, they can set up sharing with you again in Smith Calendar. Otherwise, you can continue using the shared calendar in GroupWise.

  • Rules, but...
    You can re-create your rules using "filters" in Smith Mail.

  • Tasks, but...
    You can re-create your tasks in Smith Mail.

What can't I do that I’m used to doing in GroupWise?

  • You can’t change the sort-order for messages, but...
    The sophisticated built-in search tools make it easy to find what you're looking for.

  • You can’t share an email folder, but...
    You can "delegate" access to your whole email account to other people OR ask ITS to create a non-person account for shared email access within your department.

  • You can’t share an address book, but...
    You can create and share a user-defined Google Group instead.

  • Right-click options for copy-cut-paste operations may not work, but...

    You can use the following key-stroke combinations on a PC:
    Ctrl+c=copy
    Ctrl+x=cut
    Ctrl+v=paste

    You can use the following key-stroke combinations on a Mac:
    Command+c=copy
    Command+x=cut
    Command+v=paste


  • Smith Mail supports few drag-and-drop operations, but...
    In-page menus make it easy to move items from one location to another

  • An account can send messages to no more than 500 internal recipients and 1500 external recipients per 24 hours, but...
    If everyone in your recipient list has been migrated to Smith Mail (or is off-campus), you can put them in a Google Group and send that group a message that counts as only one. Otherwise, you can continue using GroupWise to send to large groups.

What's easier in Smith Mail?

  • Saving drafts: In Smith Mail, your work-in-progress is saved automatically as a draft.

  • Dealing with spam: No need to access a separate spam utility, as with the MessageScreen quarantine system. It's easy to add a message to Spam in Smith Mail with one click.
