There are separate procedures to be followed by organizations and houses; however, all projects that involve the exchange of money on or off campus must be registered. The Office of Student Activities grants student organizations project approval. The House Presidents Association grants house project approval.
No publicity may be posted and no transactions may occur prior to receiving approval.
Approval is not guaranteed. For this reason, it is advisable to obtain approval before printing posters, contacting other schools, investing money, etc.
If your fund-raiser is the sale of T-shirts, you must include with the application a sketch or detailed description of the design, which will appear on the shirt. If this sketch is not included, you will not receive approval. Also, please do not have the shirts printed prior to approval. Student Activities, Residence Life and/or the SGA will accept no liability for shirts that cannot be sold on campus.
Any use of the Smith College seal or logo must have the prior approval of the Office of College Relations, Garrison Hall.
The leaders of the organization or house must submit the application at least 10 days prior to the event. Applications are available on-line on the Student Organization Resources web page.
It is recommended that applications be made well before the 10 day deadline, and that concrete plans not be made until the Director of the Campus Center or HPA has reviewed the application. Incomplete applications will not be considered.
Organizations that sponsor outside vendors must also have a vendor contract signed by the Student Activities Office and the vendor. Contract request forms are available on-line under
Student Organization Resources on the Campus Center web page. Contracts must be submitted, signed and returned before the vendor is allowed to come on campus.
Notification of approval will come from the Director of the Campus Center or the head of HPA. Organizations will be required to submit a list of expenditures and profits. This is done to alert the Student Activities Office to successful fund-raisers (and unsuccessful ones) so other organizations can be advised in the future. Once approval is granted, advertising, final plans, etc. may begin.
RESERVING SPACE ON CAMPUS
The Campus Center is available to all registered student organizations for fund-raising, information tables, selling tickets, promotion of events and other activities.
All reservations must be made by filling out the Campus Center Space Reservation Form and submitting it online to the student scheduling coordinator at least 10 business days in advance.
