Each student assigned to live in college housing will receive keys to her house, room and (in most cases) closet. Keys will be distributed to new students on Tuesday, August 26, 9 a.m. - 2 p.m. in the Indoor Track and Tennis Facility, Ainsworth Gymnasium complex. All new students must attend central check-in on this day (students with different arrival dates, such as those in the Bridge and ISP programs have time set aside during their programs to attend central check-in, even though they actually arrive and receive keys at the times designated by their individual programs). Arrival information for returning students is available at:
http://www.smith.edu/registrar/semesteropening.php.
All returning students must attend central check-in on one of the days listed above. Failure to attend central check-in will result in a $55 late check-in fee.
Any or all lost keys should be reported to the head resident or house coordinator and the residence life office so that replacement keys can be ordered. Students are advised to check the Lost and Found at Public Safety before new keys are ordered.
Loss of a front door (building entry) key must be reported immediately to the head resident or house coordinator, who will then order a replacement key through the residence life office.
If a front door key was lost with student identification, the front door lock must be changed for safety and security reasons. New keys will be issued for all residents of the house. An $80 charge for the front door lock core change and keys will be levied.
Charges for lost keys are as follows: $20.00 for a lost house key if no core change is needed, $15.00 for a lost room key plus an additional $30.00 if a core change is requested, $15.00 for a lost closet key plus an additional $30.00 if a core change is requested.
If a replacement key or a core lock replacement key is ordered but not claimed, or if the keys are found and returned after the order for new keys has been placed, the student will still be charged the appropriate fee. This charge will be made either on the student’s semester bill or, in the case of seniors, against the student’s general deposit.
Students are responsible for picking up their replacement keys at Clark Hall, Office of Residence Life, 9 a.m. - 4:30 p.m. Monday - Friday. Any key(s) unclaimed by 4:30 p.m. on Wednesday of the week following the request will be returned to the college lock shop. It is then the responsibility of the student who requested the replacement key to arrange a suitable date and time for pick-up at the college lock shop.
Keys are nontransferable. Students may not change rooms by switching keys. Violation of this policy will result in disciplinary action. Students are expected to keep their keys with them at all times. Students are expected to lock their room doors when they are not present, as they are responsible for the room to which they have been issued the key, both for the condition of the room and for anything that occurs inside the room. If a student locks themself out of their room between 9 a.m. and 1 a.m., they should contact their head resident (if available); otherwise, they should call Public Safety.
Requesting that an area coordinator, head resident or house coordinator lend a key or that Public Safety let someone into her room should be neither a regular occurrence nor a substitute for replacing a lost key. Please bear in mind that there is most likely going to be a wait for a response if someone is not immediately available.
All keys must be returned to the residence life staff or office when the student vacates the house. Failure to do so will result in a $50 charge to a student’s semester bill or, in the case of graduating seniors, against the student’s general deposit.
When the college is not in session (during summer vacation, breaks, etc.) students who need entry into a college house must get authorization from the residence life office.
