Organization Transition
Transitioning an organization is one of the most important things a leader can do for their group. Proper transitioning ensures that the organization can continue to operate successfully from year to year with little to no interruption in achieving organizational goals.
All recognition and transition paperwork is kept year-to-year in the student events Access database and can be accessed by current organization leaders through the Office of Student Engagement.
Organization Transition Checklist
2012 Dates:
March 5-9
Host an organization transition meeting and talk about officers for next year. Have current officers talk about their current positions and where the organization is headed. Make sure you include members of the organization who may be abroad!
March 19-30
Hold organization elections for 2011-12.
March 31
Have the president and treasurer elect attend the organization transition conference. This is the first step in the recognition process for 2011-12 and is required for all organizations. If new officers are abroad ask another newly elected board member to attend and help the organization through their transition from 2010-11 to 2011-12.
April 6
ORC fall budget requests are due electronically by 4 p.m. with all supporting documentation. All budget forms can be found at the ORC Web site.
April 9-20
Old and new organization officers should be working together to host their first and second transition meetings. Outlines for both meetings were distributed at the conference.
April 13-15
ORC budget hearings.
April 23-27
New organization officers should schedule a meeting with their organization adviser to talk about the coming year. Remember that your adviser is the group's most consistent resource and should be consulted as goals, vision and program plans are discussed for the coming year.
April 27
Organization recognition forms are due and should be complete with new organization officers for 2011-12. Please remember to:
- Pass along the organization e-mail password so new officers can keep up with the account over the summer months.
- Hand over the most amazing transition notebook ever seen.
May 3
Last day for organization banking. Organizations should have all paperwork and their budget binder turned in to the Student Bank or the OSE Office, CC 106 by 4 p.m.
May 11
Your organization's end-of-year report complete with highs, lows and recommendations for the future.
September 17-21
Treasurer training takes place in CC 103/104 for the 2011-12 academic year. All treasurers must be trained before they will be able to access the Student Bank and retrieve their budget binder. We encourage all organization presidents to also be trained so they can access an up to date balance from the bank at any time.
September 19 (Rain Date: 21)
Student Involvement Fair will be held from 11:30-1 p.m. out on Chapin Lawn. Please make sure you register your organization for the event.
September 22
The Student Leadership Conference will be held from 10:00 a.m.-2:00 p.m. in the Campus Center.
September 28
Space Agreements & hazing forms are due. Organizations budgets will be frozen until the form has been submitted to the Office of Student Engagement, Campus Center 106.
November 2
ORC spring budget requests are due electronically by 4 p.m. with all supporting documentation. All budget forms can be found at the ORC Web site.
November 9-11
ORC Spring 13 Budget Hearings.
December 13
Last day for organization banking. Organizations should have all paperwork and their budget binder turned in to the Student Bank or the OSE Office, CC 106 by 4 p.m.
