Reservable Spaces

The Campus Center has many spaces that are available for campus departments, groups and student organizations to reserve.

The Office of Student Engagement (room 106) coordinates and reserves meeting spaces, equipment and support services for students, faculty and staff. We have many resources to help ensure the success of your event or program.

PLEASE NOTE: All requests for Campus Center space will be handled Monday - Friday, 9 a.m. to 1:30 p.m. All spaces listed below note the number of business days required to request to those spaces. Reservation requests that are made AFTER 1:30 p.m. on Fridays will not be processed until the following Monday. The OSE observes college holidays and closings.

Spaces

Art Display Spaces

Chapin Lawn Display

Chapin lawn display is an exhibit space for the college community to display various forms of art, program and event materials. Shepherd's hooks with a line to affix exhibits will be set up according the amount of space required for program materials, which will be determined through an event consultation with OSE administrative staff.

Reservations for this space must be made 7 BUSINESS days in advance. Artists/exhibitors and/or sponsoring organizations assume responsibility for setting up their own exhibits.

Nolen Art Lounge

The Nolen Art Lounge is a space to share ideas, laugh, talk and think. The goal of the art lounge is to provide the Smith community with a venue for creative, innovative and multicultural arts. This educational space is a way for the arts to reach a very large and diverse population. As it changes to fit the different exhibits and events it holds, the space adapts itself to the needs of the Smith community. The space has flexible lighting, along with moveable display boards and pedestals, which can accommodate a wide variety of exhibitions and mediums.

Requests for this space must be made through the program associate for the Nolen Art Lounge, artslounge@smith.edu.

The Art Wall

The art wall must be reserved through the online calendar,25 Live. Reservations may not exceed 16 days and must be reserved for a minimum of four days. Included within the 16 day reservation period are set up and takedown days. This means that an exhibit will be online for viewing for a period of 14 days with the first day of the reservation designated for setup and the final day for takedown.

Reservations for this space must be made 7 BUSINESS days in advance. Artists/exhibitors and/or sponsoring organizations assume responsibility for setting up their own exhibits.

Meeting Rooms

Each meeting room is equipped with a white board and dry erase markers.

Room 204

Capacity: 18. A large, formal conference table surrounded by comfortable chairs dominate this room, making it perfect for formal meetings.

This room must be reserved at least 1 BUSINESS day in advance and requires 15 minutes each of setup/breakdown time.

Room 205

Capacity: 50. Whether it is a lecture or a large meeting, this room includes coffee tables, lounge chairs and stackable seating that can be arranged to suit your needs for your event. Various room setups are available.

This room must be reserved at least 2 BUSINESS days in advance and requires 20 minutes each of setup/breakdown time.

Room 102

Capacity: 25. This meeting room has a combination of soft furniture, tables and chairs to allow for small meetings, intimate receptions or relaxation. Various room setups are available.

This room must be reserved at least 1 BUSINESS day in advance and requires 15 minutes each of setup/breakdown time.

Room 103/104

Capacity: 60. Coffee tables, lounge chairs and stackable chairs make this room ideal for meetings or receptions. Various room setups are available.

This room must be reserved at least 2 BUSINESS days in advance and requirs 20 minutes each of setup/breakdown time. This room is reserved as one large space with a removeable wall option that requires an event consultation with the OSE for use.

Room 003

Capacity: 20. This room has a meeting table, sofa with coffee tables and soft seating; perfect for holding a small meeting. Various room setups are available.

This room must be reserved at least 1 BUSINESS day in advance and requires 15 minutes each of set up/breakdown time.

Multipurpose Spaces

Carroll Room (room 208)

Capacity varies: 500, party, standing room only. 240, lecture, dependant on additional room setup needs, 170 seated with round tables, dependant on additional room setup needs. This large, maple-paneled room can seat people comfortably around round tables for a banquet, lecture style for presentations or cleared out for a dance party. This room has a podium, a blackout shade for the large windows and acoustic curtains lining one wall to make your event look and sound just as you wish. Various room setups are available.

This room must be reserved at least 7 BUSINESS days in advance and requires 1-2 hours each of setup/breakdown time depending on the event setup requirements. The OSE will use discretion in choosing the appropriate setup time for your event.

TV Lounge

Capacity: 27. This space in conjuction with the game room can comfortably hold 50 people for an event. It is ideal for small bands, coffee house events, mixers, etc. All furniture stays in the room, but can moved to accomodate a small stage. There is house lighting for performances in this space.

This room must be reserved at least 1 BUSINESS day in advance and requires 15 minutes each of setup/breakdown time.

Davis Ballroom

The Davis Ballroom, while not in the Campus Center, is managed by the Campus Center staff. This room can accomodate large dinners or parties. Capacities vary from 150 to 300. All setups are managed through facilities management. Technical requests will be handled by ETS or the Campus Center based on the requested needs. Student event staffing will be determined and provided by the Campus Center.

This room must be reserved at least 7 BUSINESSdays in advance and requires 1-2 hours each of setup/breakdown time depending on the event setup requirements. The OSE will use discretion in choosing the appropriate setup time for your event.

Outdoor Spaces

Chapin Lawn

All Chapin lawn reservations are restricted to the lawn itself and may not breach the "drip line" or mulched spaces beneath tress located on the lawn. There are limited electrical/power resources in and around the lawn although additional power may be coordinated through facilities management after the space reservation has been submitted. Staking into the lawn is restricted to avoid damage to the lawn's sprinkler system.

Event programmers planning to play music on the lawn may do so Monday–Friday, from noon to 1 p.m. & 4 to 11 p.m.; and Saturday and Sunday, from 10 a.m. to 11 p.m.

The lawn must be reserved at least 7 BUSINESS days in advance.

Chapin Deck

Chapin deck comprises the two large concrete and granite "steps" before you enter Chapin lawn. All Chapin deck reservations are restricted to the deck itself and will not exceed the deck space. There are limited electrical/power resources in and around the deck space although additional power may be coordinated through facilities management after the space reservation has been submitted. Staking into the lawn is restricted to avoid damage to the lawn's sprinkler system.

Event programmers planning to play music on the deck while classes are in session may do so Monday–Friday, from noon to 1 p.m. & from 4 to 11 p.m.

The deck must be reserved at least 7 BUSINESS days in advance.

Davis Lawn

Davis lawn in the area directly in front of Davis and is surround by a fence. Setups are coordinated through the events management office in collaboration with facilities management after the space reservation has been submitted. There is no electrical power on the lawn although power may be supplied by facilities management after the space reservation has been submitted. Staking into Davis lawn is permitted.

Event programmers planning to play music on the lawn may do so daily, from 10 a.m. to 10 p.m.

The lawn must be reserved at least 7 BUSINESS days in advance.

Resource Centers

Resource Center for Sexuality and Gender

The Resource Center for Sexuality and Gender (RCSG) can be reserved by students, student organizations, offices and departments hosting programs focused on topics of gender and/or sexuality. The RCSG is handicap accessible and can accommodate up to 50 people in various setups. This room includes a small meeting table, stackable chairs and a variety of soft seating which can be moved to accommodate small lectures, discussions and workshops.

Reservations for this space must be made one BUSINESS day in advance.

Vending Spaces

Please read the Campus Center's vending policies. Vending areas are reserved on a first-come, first-serve basis and do not require setup/breakdown time.

Garden Level Vending 1, 2 & 4

Each vending area is equipped with one curved table and two chairs.

Garden Level Vending 3

This vending area is equipped with one curved vending table and two chairs and will support the use of a Smith OneCard machine. The cost to use the OneCard machine is $15/month.

Main Level Vending

The main level vending area is located to the right of the main café doors. This area is equipped with one six-foot table and two chairs.

The following restrictions always apply:

Available Space

Reservation of the entire facility is not possible, although we can host part of your larger event, such as a meal, meeting or breakout session.

Academic Year Restrictions

During the academic year, the Campus Center cannot be reserved for non-Smith-related events.

Summer Restrictions

During the summer, requests for events not affiliated with or sponsored by Smith must be coordinated through the summer programs office. Space reservations may not be transferred to another group.
