Guidelines for Electronic Reserves

Prepare your e-reserve materials:

  • Complete the e-reserves form or create a list of e-reserves (electronic version required)
  • For each item, include a complete bibliographic citation and copyright statement (e.g., © 1987 by Oxford University Press)
  • Documents appropriate for e-reserves include
    • Periodical articles (one-two articles or up to 10 percent of any one issue)
    • Sections of books (no more than 10 percent of the total number of pages)
    • PDF files
    • HTML files
    • Microsoft Word documents
    • Excel files
  • Arrange for copyright clearance when required. Generally, first time use of materials is considered to be fair use. Repeated use for the same course or amounts exceeding the general guidelines require permission (For more information see the Smith Copyright Policy)
  • If you are seeking copyright permission, indicate on your list if it's from CCC, the publisher, or elsewhere
  • For questions about copyright policy, the Copyright Clearance Center, permissions, etc., contact Chris Hannon (x2911, channon@email.smith.edu)

Submit e-reserves materials:

  • Send a completed e-reserves form or a list of e-reserve documents (electronic version required) to the appropriate library contact person
  • Provide library e-reserve staff with clean photocopies (on 8-1/2 X 11" paper) of all hardcopy items and electronic copies of all PDF, HTML, Microsoft Office, and other electronic files. If you know that an item is available in full text through JSTOR, LexisNexis Academic, or another online subscription, please note this on your list and library staff will link the item to Moodle
  • E-reserve readings will be placed on your course's Moodle site. Please list/arrange e-reserve items in the order you'd like them grouped or displayed (alphabetical by author, in order of assignment, grouped in folders by topics you specify, etc.)

Library staff will create e-reserves. They will:

  • Create a cover sheet for each document with information about use, distribution, and copyright restrictions
  • Scan and upload all e-reserve documents you have provided and link documents available online, grouping and arranging them in the order you've requested
  • Add a link from your e-reserve list to your library course reserve list in the Five College Library Catalog (if you have items on reserve in one of the libraries).
  • Link to an online document providing instructions and tips for viewing and printing e-reserve documents
  • Scan and/or upload course descriptions, syllabi, assignments, headers, course notes, old quizzes and exams, etc. and make links to external websites (library research guides, library subject page, writing style guides) to your Moodle site when requested
  • Return photocopies to you
