RefWorks Instructions by Vendor

Instructions for downloading citations from major database vendors are listed in the table below.

If you do not know the vendor, find the name of the database, then select the appropriate vendor.

Additional databases may or may not allow exporting of citations into RefWorks. If you need further information about a database, please contact your subject liaision in the Libraries.

Note: It is best to have RefWorks open before downloading citations. Citations downloaded into RefWorks may have errors; always check your references after downloading.

Five College Library Catalog

  • Select the items you want to save by clicking the box.
  • Click the E-Mail/Save link near the top of the screen.
  • In the Choose predefined format pull down menu, select RefWorks Format.
  • Click Go.
  • Click the RefWorks button.
  • Log in to RefWorks and your records should automatically appear in the Last Imported folder. [Off campus users will need to use the group code before logging into RefWorks. Contact the reference desk if you need the code, 585-2960 or neilref@smith.edu]
  • For items other than books, you may need to adjust the ref type. Click edit above the record you want to edit and then select the correct ref type from the pull down menu.

Accessible Archives

This database does not export citations in a format that is acceptable to import into RefWorks. It is recommended that you enter citations into RefWorks manually.

  • Log in to RefWorks.
  • Choose References from the drop down menu tool bar and then choose Add New Reference.
  • Choose the type of reference you are entering (e.g. journal, book, web page, etc.) under Ref Type.
  • Enter the required field information in the boxes and then click Save when finished.

ACS Publications

  • Select Download Citation from the Tools menu.
  • Choose RIS format.
  • Log in to RefWorks.
  • Open the References menu and select Import.
  • Select RIS Format as the data source and as the database.
  • Browse to find the RIS file you saved to your computer.
  • Click Import.
  • Your reference should automatically appear in the Last Imported folder.

Adam Matthew

  • Select a document by ticking the check box next to its title.
  • Click the RefWorks button at the top of the page.
  • Log in to RefWorks and your records should automatically appear in the Last Imported folder.

African Studies Center/AfricaBib.org

  • Find the Export button located in the upper right corner of the article record page.
  • Click the Export button to download the references in RIS format.
  • Log in to RefWorks.
  • Open the References menu and select Import.
  • Select RIS Format as the Import Filter/Data Source and as the database.
  • Browse to find the RIS file you saved to your computer.
  • Click Import.
  • Your reference should automatically appear in the Last Imported folder.

Alexander Street Press

This database does not export citations in a format that is acceptable to import into RefWorks. It is recommended that you enter citations into RefWorks manually.

  • Log in to RefWorks.
  • Choose References from the drop down menu tool bar and then choose Add New Reference.
  • Choose the type of reference you are entering (e.g. journal, book, Web page, etc.) under Ref Type.
  • Enter the required field information in the boxes and then click Save when finished.

American Mathematical Society

  • Select Citations.
  • Next to Batch Download, select Citations (BibTeX).
  • Click Retrieve Marked.
  • Using your Browser's Save As function, navigate to the local drive and directory where you want to save the file.
  • Select Text as the file type.
  • Click Save.
  • Log in to RefWorks.
  • Select References/Import from the toolbar.
  • Select BibTeX as the data source and MathSciNet (AMS) (BibTeX format) as the database.
  • Browse to find the text file you saved to your computer.
  • Click Import.
  • Your records should appear in the Last Imported Folder.

Anthology of Recorded Music, Inc.

This database does not export citations in a format that is acceptable to import into RefWorks. It is recommended that you enter citations into RefWorks manually.

  • Log in to RefWorks.
  • Choose References from the drop down menu tool bar and then choose Add New Reference.
  • Choose the type of reference you are entering (e.g. journal, book, web page, etc.) under Ref Type.
  • Enter the required field information in the boxes and then click Save when finished.

ARTstor

  • You can export selected image citations or an entire image group's citation. To begin:
    • Select individual images with a single click.
      • In the ARTstor navigation bar, click Tools > Save citations for selected images. This option is also available from the right- (or Control-) click shortcut menu.
    • OR Open an image group
      • In the ARTstor navigation bar click Tools > Save citations for image group. This option is also available from the right- (or Control-) click shortcut menu.
  • A confirmation message appears confirming the citations were saved.
  • To review what you've selected, click Tools > View and export citations. A new browser window will open displaying your saved citations as well as image thumbnails.
  • Select the images you would like to export as bibliographic citations by checking the box above each image.
  • Click the Export citations into RefWorks link located at the top of the Your saved citations page.
  • You will be automatically forwarded to the RefWorks website, where you can log onto your account. Once you log on, RefWorks will begin importing your ARTstor citations.

Berg Publishers

  • Click the Cite button in the article header.
  • Select RefWorks Format.
  • Click Export.
  • Save the file to your computer.
  • Log in to RefWorks.
  • In RefWorks, click References and then select Import.
  • From the Import Filter/Data Source drop down menu, select RIS Format.
  • From the Database drop down menu select RIS Format.
  • Select Import Data from the following Text File and then browse to the file you saved.
  • Click Import.
  • Your records should appear in the Last Imported Folder.

BHA: Bibliography of the History of Art

  • Click the Export button in the article sidebar.
  • Select RIS Format.
  • Click Export.
  • Save the file to your computer.
  • Log in to RefWorks.
  • In RefWorks, click References and then select Import.
  • From the Import Filter/Data Source drop down menu, select RIS Format.
  • From the Database drop down menu select RIS Format.
  • Select Import Data from the following Text File and then browse to the file you saved.
  • Click Import.
  • Your records should appear in the Last Imported Folder.

BioOne

  • After performing a search, check the box to the left of the articles you want to save.
  • Click Download to Citation Manager.
  • Select if you'd like to download just the article citation, references cited in this article, or both.
  • Click Download article citation data.
  • Log in to RefWorks.
  • Select References/Import from the toolbar.
  • Select RIS Format as the data source and RIS Format as the database.
  • Select the folder you'd like to import the records into (optional).
  • Browse to find the text file you saved to your computer.
  • Click Import.
  • Your records should appear in the Last Imported Folder.

Brepolis

  • Download or Email Records.
  • Download the file to your desktop.
  • Open RefWorks.
  • Open the References menu and select Import.
  • Set Import Filter/Data source to International Medieval Bibliography.
  • Browse to find the file you saved to your computer.
  • Set the encoding to UTF-8.
  • Select Import.
  • Your reference should automatically appear in the Last Imported folder.

CABI

  • Click Export Citation in the right sidebar.
  • Click Export to RefWorks.
  • Log in to RefWorks and your records should automatically appear in the Last Imported folder.

Cambridge University Press

  • While searching any of the Cambridge Collections Online databases, click on a record.
  • From within the record scroll to the bottom of the screen and select Download Citation: as RIS.
  • Save the file to the desktop on your computer.
  • Log in to RefWorks.
  • In RefWorks click References and then select Import.
  • From the Import Filter/Data Source drop down menu, select RIS Format.
  • From the Database drop down menu select Cambridge Journals Online.
  • Select Import Data from the following Text File and then browse to the file you saved from Cambridge Collections Online.
  • Click Import.
  • Your reference should automatically appear in the Last Imported folder.

CAS

  • Select citations.
  • Click on Save As.
  • Name your file, and select Tagged Format (*.txt) as file type.  Save the file to a location you will remember (note: will default to SFSCHLR folder, not desktop!)
  • Log in to RefWorks.
  • Select References/Import from the toolbar.
  • Select CAS SciFinder as the data source and CAPlus as the database.
  • Browse to find the text file you saved to your computer.
  • Click Import.
  • Your records should appear in the Last Imported Folder.

Chadwyck Healey

  • Select citations.
  • Click Marked List.
  • Click Download Citations or Download.
  • Click Export directly to RefWorks.
  • Log in to RefWorks and your records should automatically appear in the Last Imported folder.

Columbia University Press

This database does not export citations in a format that is acceptable to import into RefWorks. It is recommended that you enter citations into RefWorks manually.

  • Log in to RefWorks.
  • Choose References from the drop down menu tool bar and then choose Add New Reference.
  • Choose the type of reference you are entering (e.g. journal, book, web page, etc.) under Ref Type.
  • Enter the required field information in the boxes and then click Save when finished.

 

CQ Press

For direct export:

  • Conduct your search.
  • Click the Cite Now! button at the top of the record you would like to export. Note: You can only export one record at a time.
  • A separate window will pop up.
  • Choose Export citation to: RefWorks.
  • The reference is automatically exported to RefWorks.
  • Log in to RefWorks and your records should automatically appear in the Last Imported folder.

Ebrary

  • Enable the RefWorks button by going to My Settings in the top right gray bar
  • Under Managing bibliographic information, check the box for Show RefWorks buttons
  • Click Set Preferences
  • Conduct a search
  • On the search results screen, click the RefWorks button OR when viewing a book, select RefWorks from the InfoTools menu
  • Log in to RefWorks and your records should automatically appear in the Last Imported folder.

EBSCO

  • Select citations.
  • Click the Add folder icon to the right of any results you want to save.
  • Click the Folder has items icon, in the blue tool bar at the top of the screen.
  • Click the  Export icon from inside the folder.
  • Click the radio button in front of Direct Export to RefWorks to initiate a direct export.
    Note: Uncheck the Remove these items from folder after saving feature, if you want items to remain in the folder after performing the export function.
  • Click the Save button to begin the direct export.
  • Log in to RefWorks and your records should automatically appear in the Last Imported folder.

Note: The Direct Import sometimes gets stuck and doesn't export anything. When this happens, you may need to import your citations as a text file into RefWorks using a filter, see below, OR you can close all your browsers and start over. This often gets it unstuck:

  • Conduct a search.
  • Click the Add icon to the right of any results you want to save.
  • Click the Folder has items icon, in the blue tool bar at the top of the screen.
  • Click the  Export icon from inside the folder.
  • Click Generic bibliographic management software.
  • Click on File and Save As. Save to Desktop.
  • Under Save as type, select text file.
  • Log in to RefWorks.
  • Click the Reference menu and select Import.
  • Click the Import Filter/Data Source menu and select Smith College.
  • Click the Database menu and select Academic Search Premier [EBSCOhost].
  • Click the radio button next to Import Data from the following Text File.
  • Click the Browse button to navigate to and select your text file of saved records from the desktop.
  • Click the Import button.
  • Your reference should automatically appear in the Last Imported folder.

Elsevier

  • Select citations.
  • Click Export citations.
  • For Content Format, select Citations and Abstracts.
  • For Export Format, select RefWorks DirectExport.
  • Click Export.
  • Log in to RefWorks and your records should automatically appear in the Last Imported folder.

Engineering Village 2

  • Conduct a search and mark the items you wish to export.
  • Select Download from the search results page.
  • Select RefWorks direct import and click on Download.
  • Log in to RefWorks and your records should automatically appear in the Last Imported folder.

Gale Cengage

  • Mark records.
  • Click the Marked Items folder, which is below the blue database banner near the top of the screen.
  • Click the Citations Tools link in the red tool box.
  • Where it says Export to third party software, select RefWorks.
  • Click Export.
  • Log in to RefWorks and your records should automatically appear in the Last Imported folder.

Google Scholar

  • From the Google Scholar search page, click the Scholars Preferences link.
  • Scroll down to the Bibliography Manager section.
  • Select Show Links to Import into and select RefWorks from the drop-down.
  • Click Save Preferences.
  • Conduct your search in Google Scholar.
  • For each record, you will click the Import into RefWorks link.
  • Log in to RefWorks and your records should automatically appear in the Last Imported folder.

ISI Web of Knowledge

  • From your search results, select the items you wish to save by checking the box to the left of the appropriate citations.
  • Click the Save to RefWorks button.
  • Log in to RefWorks and your records should automatically appear in the Last Imported folder.

JSTOR

  • Click Export this citation under the article that you want to save (to export multiple articles, you will need to create a MyJSTOR account)
  • Select the RefWorks option
  • Log in to RefWorks and your records should automatically appear in the Last Imported folder.

LexisNexis Academic

  • Select citations.
  • Click the Export Bibliographic References icon .
  • Select Tagged Documents.
  • Click Export.
  • Log in to RefWorks and your records should automatically appear in the Last Imported folder.

Making of the Modern World

This database does not export citations in a format that is acceptable to import into RefWorks. It is recommended that you enter citations into RefWorks manually.

  • Log in to RefWorks.
  • Choose References from the drop down menu tool bar and then choose Add New Reference.
  • Choose the type of reference you are entering (e.g. journal, book, web page, etc.) under Ref Type.
  • Enter the required field information in the boxes and then click Save when finished.

NewsBank

  • Click View Article next to the article you want to export.
  • Click Export Citation.
  • Save the file to your computer.
  • Log in to RefWorks.
  • In RefWorks, click References and then select Import.
  • From the Import Filter/Data Source drop down menu, select RIS Format.
  • From the Database drop down menu select RIS Format.
  • Select Import Data from the following Text File and then browse to the file you saved.
  • Click Import.
  • Your records should appear in the Last Imported Folder.

National Library of Medicine

  • Mark the records you wish to export.
  • From the Send To option, select File as your Destination.
  • Select MEDLINE as your Format.
  • Select a Sort By option and click the Create File button.
  • Save the file to your computer (or alternatively, open the file).
  • Log in to RefWorks.
  • Select References/Import from the toolbar.
  • Select NLM PubMed as the Data Source and Database.
  • Browse to find the file you saved to your computer (if you opened the file, copy and paste the text into the Importing Data from the Following Text area).
  • Click the Import button.
  • Your records should appear in the Last Imported Folder.

OCLC FirstSearch

Please note: Pop-up blockers must be turned off in your browser.

  • After selecting citations, click Marked Records.
  • Click Export.
  • Select Refworks.
  • Click the Export button.
  • Log in to RefWorks and your records should automatically appear in the Last Imported folder.

OXFORD (Oxford Language Dictionaires, Oxford Art, Oxford Music Only)

  • Conduct your search.
  • Click on Cite at the top of the article.
  • Under Export Citation, click the link for Export Citation (In the Oxford Language Dictionaries, you will need to select RefWorks).
  • Click on Save to Disk.
  • Select the drive and folder where you want to save the citation.
  • Log in to RefWorks if you do not have it open.
  • Select References/Import from the toolbar.
  • Select RIS Format as the Import Filter/Data Source.
  • Select RIS Format as the Database.
  • Browse to find the text file you saved to your computer and click on Open.
  • Click Import.
  • Your records should appear in the Last Imported folder.

ProQuest

  • Select citations.
  • Click on Export.
  • Select Export directly to Refworks.
  • Log in to RefWorks and your records should automatically appear in the Last Imported folder.

ProQuest Statistical Insight

  • Select a document by ticking the check box next to its title.
  • Select the Export to RefWorks option, located in the drop down menu in the header.
  • Click the Go button. You will be prompted to log in to RefWorks.
  • Your reference should automatically appear in the Last Imported folder.

Readex

  • View the article you want to export.
  • Click Export Citation.
  • Save the file to your computer.
  • Log in to RefWorks.
  • In RefWorks, click References and then select Import.
  • From the Import Filter/Data Source drop down menu, select RIS Format.
  • From the Database drop down menu select RIS Format.
  • Select Import Data from the following Text File and then browse to the file you saved.
  • Click Import.
  • Your records should appear in the Last Imported Folder.

Royal Society of Chemistry

  • Find the Download Citation menu on the right side of the article record page.
  • Select RefWorks.
  • Log in to RefWorks.
  • Open the References menu and select Import.
  • Select RIS Format as the data source and as the database.
  • Browse to find the RIS file you saved to your computer.
  • Click Import.
  • Your reference should automatically appear in the Last Imported folder.

Sage Reference Online

  • Find the Cite button in the upper left corner (in the same row as the text size, print, and e-mail buttons).
  • Select RefWorks.
  • Log in to RefWorks.
  • Open the References menu and select Import.
  • Select RIS Format as the data source and as the database.
  • Browse to find the RIS file you saved to your computer.
  • Click Import.
  • Your reference should automatically appear in the Last Imported folder.

Statistical Datasets [Data-Planet]

  • Select Export from the black header beneath the variables panel.
  • Select RefWorks Direct Export. You will be promted to log in to RefWorks.
  • Your reference should automatically appear in the Last Imported folder.

 

UC Regents

  • Place a check mark next to items in the search results you wish to save and then click Add to Marked List.
  • When searching is complete, click View Marked List.
  • From the Marked List window, select Download Records.
  • Once the Download the Marked List window appears, click Export to RefWorks link.

University of Toronto Libraries

  • Click the article record link.
  • Select the RefWorks button, located in the center of the header of the Details screen. You will be prompted to log in to RefWorks.
  • Your reference should automatically appear in the Last Imported folder.
