Refworks & Library Databases

RefWorks logo helps researchers gather, manage, store, and generate citations and bibliographies. Smith faculty, staff & students have access on the web without charge. Set up a personal login account to begin.

The RefWorks software program provides a number of import filters under References/Import. You can check to see if the filter you need is there:

We have included instructions for databases from major vendors below. Additional databases may or may not allow exporting of citations into RefWorks. If you need further information about a database, please contact your subject liaision in the Libraries.

Citations downloaded into RefWorks may have errors; always check your references after downloading.

INFORMATION PROVIDERS OF SELECTED DATABASES

Choose the appropriate vendor from the table below (or scroll down). If you do not know the vendor, go to the table and locate the library database you are using. Then click on the name of the appropriate vendor:

Note: It is best to have RefWorks open before downloading citations.

Five College Library Catalog

Currently, the Five College Library Catalog does not allow saving citations for import into RefWorks. Until further notice, enter references from the Five College Library Catalog manually using the following instructions. Note: Pop-up blockers must be turned off:

Option 1: These instructions do not work with items saved in your personal folder.

  • Select the items you want to save by clicking the box.
  • Click the E-Mail/Save link near the top of the screen.
  • Check to make sure that Select Predefined Format is set to Catalog.
  • Check to make sure that Choose Character Set radio button is set to ASCII.
  • Make sure to leave all fields blank and click Go.
  • Click Save File to save your citations to your computer (the file should save as .sav).
  • Log into RefWorks.
  • Click the References menu and select Import.
  • Click the Import Filter/Data Source menu and select Ex-Libris ALEPH.
  • Click the Database menu and select University of Massachusetts Amherst.
  • Click the radio button next to Import Data from the following Text File.
  • Click the Browse button to navigate to and select your text file of saved records.
  • Click the Import button.

Option 2: You can also look up your items in WorldCat and use the direct export feature.


Accessible Archives

This database does not export citations in a format that is acceptable to import into RefWorks. It is recommended that you enter citations into RefWorks manually.

  • Log into RefWorks.
  • Choose References from the drop down menu tool bar and then choose Add New Reference.
  • Choose the type of reference you are entering (e.g. journal, book, Web page, etc.) under Ref Type.
  • Enter the required field information in the boxes and then click Save when finished.

 

Alexander Street Press

This database does not export citations in a format that is acceptable to import into RefWorks. It is recommended that you enter citations into RefWorks manually.

  • Log into RefWorks.
  • Choose References from the drop down menu tool bar and then choose Add New Reference.
  • Choose the type of reference you are entering (e.g. journal, book, Web page, etc.) under Ref Type.
  • Enter the required field information in the boxes and then click Save when finished.

 

ARTstor

  • You can export selected image citations or an entire image group’s citation. To begin:
    • Select individual images with a single click.
      • In the ARTstor navigation bar, click Tools > Save citations for selected images. This option is also available from the right- (or Control-) click shortcut menu.
    • OR Open an image group
      • In the ARTstor navigation bar click Tools > Save citations for image group. This option is also available from the right- (or Control-) click shortcut men
  • A confirmation message appears confirming the citations were saved.
  • To review what you’ve selected, click Tools > View and export citations. A new browser window will open displaying your saved citations as well as image thumbnails.
  • Select the images you would like to export as bibliographic citations by checking the box above each image.
  • Click on the "Export citations into RefWorks" link located at the top of the "Your saved citations" page.
  • You will be automatically forwarded to the RefWorks web site, where you can log onto your account. Once you log on, RefWorks will begin importing your ARTstor citations.

Biological Abstracts/ISI

  • From your search results, select the items you wish to save by clicking in the checkbox to the left of the appropriate citations. Then click Add to Marked List.
  • A new button labeled Marked List appears at the top of the page once you have marked and submitted items. Click this button.
  • On the Biological Abstracts Marked Records Output Options Form, leave the bold fields checked. Check the abstract or any other field if you want to include it in your RefWorks database.
  • Click the Save to File button. You should leave the option as Field Tagged.
  • A dialog box should appear, giving you the option to Save to Disc. Click Okay. The resulting file will appear on your desktop.
  • Log in to RefWorks.
  • Select References/Import from the toolbar.
  • Select ISI (Institute for Scientific Information) as the data source and Biological Abstracts as the database.
  • Browse to find the text file you saved to your computer and click on Open.
  • Click Import.
  • Your records should appear in the Last Imported Folder.

BiblioLine/NISC

  • Select citations.
  • In Select Display Format, select display: marked citations.
  • In Select Output Format, select output: marked Full Records.
  • Click on Export.
  • Click on RefWorks.
  • Log into RefWorks and your records should automatically appear in the Last Imported folder.

 

BioOne

  • After performing search, click Abstract to view article information.
  • Under Options, click Create Reference.
  • Click RefWorks Format, and save file.
  • Log in to RefWorks.
  • Select References/Import from the toolbar.
  • Select RefWorks Tagged Format as the data source and Tagged Format as the database.
  • Browse to find the text file you saved to your computer.
  • Click Import.
  • Your records should appear in the Last Imported Folder.

 

Cambridge Collections Online

  • While searching any of the Cambridge Collections Online databases, click on a record.
  • From within the record scroll to the bottom of the screen and select Download Citation: as RIS.
  • Save the file to the desktop on your computer.
  • Login to RefWorks.
  • In RefWorks click References and then select Import.
  • From the Import Filter/Data Source drop down menu, select RIS Format.
  • From the Database drop down menu select Cambridge Journals Online.
  • Select Import Data from the following Text File and then browse to the file you saved from Cambridge Collections Online.
  • Click Import.

 

Chadwyck Healey

  • Select citations.
  • Click on Marked List.
  • Click on Download Citations or Download.
  • Click on Export directly to RefWorks.
  • Log into RefWorks and your records should automatically appear in the Last Imported folder.

 

Columbia Granger's World of Poetry

This database does not export citations in a format that is acceptable to import into RefWorks. It is recommended that you enter citations into RefWorks manually.

  • Log into RefWorks.
  • Choose References from the drop down menu tool bar and then choose Add New Reference.
  • Choose the type of reference you are entering (e.g. journal, book, Web page, etc.) under Ref Type.
  • Enter the required field information in the boxes and then click Save when finished.

 

CSA

  • Select citations.
  • Click on RefWorks icon.
  • Click on Use # marked records.
  • Click on Export to RefWorks.
  • Log into RefWorks and your records should automatically appear in the Last Imported folder.

 

CQ Press

For direct export:

  • Conduct your search.
  • Click the Cite Now! button at the top of the record you would like to export. Note: You can only export one record at a time.
  • A separate window will pop up.
  • Choose Export citation to: RefWorks.
  • The reference is automatically exported to RefWorks.
  • Log into RefWorks and your records should automatically appear in the Last Imported folder.

 

DRAM

This database does not export citations in a format that is acceptable to import into RefWorks. It is recommended that you enter citations into RefWorks manually.

  • Log into RefWorks.
  • Choose References from the drop down menu tool bar and then choose Add New Reference.
  • Choose the type of reference you are entering (e.g. journal, book, Web page, etc.) under Ref Type.
  • Enter the required field information in the boxes and then click Save when finished.

 

EBSCO

  • Select citations.
  • Click on the Add folder icon to the right of any results you want to save.
  • Click on the Folder has items icon, in the blue tool bar at the top of the screen.
  • Click on the export icon Export icon from inside the folder.
  • Click the radio button in front of Direct Export to RefWorks to initiate a direct export.
    Note: Uncheck the Remove these items from folder after saving feature, if you want items to remain in the folder after performing the export function.
  • Click the Save button to begin the direct export.
  • Log into RefWorks and your records should automatically appear in the Last Imported folder.

Note: The Direct Import sometimes gets stuck and doesn't export anything. When this happens, you may need to import your citations as a text file into RefWorks using a filter, see below, OR you can close all your browsers and start over. This often gets it unstuck:

  • Conduct a search.
  • Click the Add icon to the right of any results you want to save.
  • Click the Folder has items icon, in the blue tool bar at the top of the screen.
  • Click the export icon Export icon from inside the folder.
  • Click Generic bibliographic management software.
  • Click on File and Save As. Save to Desktop.
  • Under Save as type, select text file.
  • Log into RefWorks.
  • Click the Reference menu and select Import.
  • Click the Import Filter/Data Source menu and select Smith College.
  • Click the Database menu and select Academic Search Premier [EBSCOhost].
  • Click the radio button next to Import Data from the following Text File.
  • Click the Browse button to navigate to and select your text file of saved records from the Desktop.
  • Click the Import button.


Google Scholar

  • From the Google Scholar search page, click on the Scholars Preferences link.
  • Scroll down to the Bibliography Manager section.
  • Select Show Links to Import into and select RefWorks from the drop-down.
  • Click Save Preferences.
  • Conduct your search in Google Scholar.
  • For each record, you will click on Import into RefWorks link.
  • Log into RefWorks and your records should automatically appear in the Last Imported folder.

HAPI

  • Place a check mark next to items in the search results you wish to save and then click Add to Marked List.
  • When searching is complete, click on View Marked List.
  • From the Marked List window, select Download Records.
  • Once the Download the Marked List window appears, click Export to RefWorks link.

 

Ingenta

  • Select citations.
  • Under Tools, click Bookmarking Options, then click Marked List.
  • Under Tools, click Export Options, then click plain text.
  • Using your Browser's Save As function, navigate to the local drive and directory where you want to save the file.
  • Select Text as the file type.
  • Click Save.
  • Log in to RefWorks if you do not have it open.
  • Select References/Import from the toolbar.
  • Select Ingenta as the data source and Online Articles as the database.
  • Browse to find the text file you saved to your computer.
  • Click Import.
  • Your records should appear in the Last Imported Folder.

iPOLL

This database does not export citations in a format that is acceptable to import into RefWorks. It is recommended that you enter citations into RefWorks manually.

  • Log into RefWorks.
  • Choose References from the drop down menu tool bar and then choose Add New Reference.
  • Choose the type of reference you are entering (e.g. journal, book, Web page, etc.) under Ref Type.
  • Enter the required field information in the boxes and then click Save when finished.

 

JSTOR

  • Click Export this citation under the article that you want to save (To export multiple articles, you will need to create a MyJSTOR account)
  • Select the RefWorks option
  • Log in to RefWorks and your records should automatically appear in the Last Imported folder.

 

Making of the Modern World

This database does not export citations in a format that is acceptable to import into RefWorks. It is recommended that you enter citations into RefWorks manually.

  • Log into RefWorks.
  • Choose References from the drop down menu tool bar and then choose Add New Reference.
  • Choose the type of reference you are entering (e.g. journal, book, Web page, etc.) under Ref Type.
  • Enter the required field information in the boxes and then click Save when finished.

 

MathSciNet (American Mathematical Society)

  • Select citations.
  • Next to Batch Download, select Citations (BibTeX).
  • Click Retrieve Marked.
  • Using your Browser's Save As function, navigate to the local drive and directory where you want to save the file.
  • Select Text as the file type.
  • Click Save.
  • Log in to RefWorks.
  • Select References/Import from the toolbar.
  • Select BibTeX as the data source and MathSciNet (AMS) (BibTeX format) as the database.
  • Browse to find the text file you saved to your computer.
  • Click Import.
  • Your records should appear in the Last Imported Folder.

 

MDL/Elsevier (MDL CrossFire Commander 7.0)

  • Select citations.
  • From top menu, select Export Hits.
  • Select *Citations (Bibl., Title, Abstract) to EndNote 9.
  • In the Export data from the following hits: box, choose Selected Hits Only.  Click Start.
  • Name your file, and select Ascii Text (*.txt) as file type.  Save the file to a location you will remember (note: will default to exportdata folder, not desktop!)
  • Click Save.
  • Log in to RefWorks.
  • Select References/Import from the toolbar.
  • Select RIS Format as the data source and Beilstein as the database.
  • Browse to find the text file you saved to your computer.
  • Click Import.
  • Your records should appear in the Last Imported Folder.

 

Newsbank

  • Click View Article next to the article you want to export.
  • Click Export Citation.
  • Save the file to your computer.
  • Log in to RefWorks.
  • In RefWorks, click References and then select Import.
  • From the Import Filter/Data Source drop down menu, select RIS Format.
  • From the Database drop down menu select RIS Format.
  • Select Import Data from the following Text File and then browse to the file you saved.
  • Click Import.
  • Your records should appear in the Last Imported Folder.

NLM/PubMed

  • Select citations, and use the dropdown menu to Send to the Clipboard.
  • Click the Clipboard tab underneath the search box.
  • Change the Display option from Summary to MEDLINE.
  • In the Send To drop-down, select Text. A window opens with just the references in MEDLINE format.
  • Select Save As from your browser and select Text as the Save As file type.
  • Log in to RefWorks.
  • Select References/Import from the toolbar.
  • Select NLM PubMed as the data source and PubMed as the database.
  • Browse to find the text file you saved to your computer.
  • Click Import.
  • Your records should appear in the Last Imported Folder.

 

OCLC FirstSearch

Please note: Pop-up blockers must be turned off in your browser.

  • After selecting citations, click on Marked Records.
  • Click on Export.
  • Select Refworks.
  • Click on Export button.
  • Log into RefWorks and your records should automatically appear in the Last Imported folder.

 

OVID

  • Select citations.
  • Click on Results Manager.
  • Under Results, select Selected Results.
  • Under Fields select Complete Record.
  • Under Results, select Direct Export.
  • Click on Save.
  • Select Export results to RefWorks.
  • Log into RefWorks and your records should automatically appear in the Last Imported folder.

 

OXFORD (Oxford Language Dictionaires, Oxford Art, Oxford Music Only)

  • Conduct your search.
  • Click on Cite at the top of the article.
  • Under Export Citation, click the link for Export Citation (In the Oxford Language Dictionaries, you will need to select RefWorks).
  • Click on Save to Disk.
  • Select the drive and folder where you want to save the citation.
  • Log in to RefWorks if you do not have it open.
  • Select References/Import from the toolbar.
  • Select RIS Format as the Import Filter/Data Source.
  • Select RIS Format as the Database.
  • Browse to find the text file you saved to your computer and click on Open.
  • Click Import.
  • Your records should appear in the Last Imported folder.

 

Oxford DRS

This database does not export citations in a format that is acceptable to import into RefWorks. It is recommended that you enter citations into RefWorks manually.

  • Log into RefWorks.
  • Choose References from the drop down menu tool bar and then choose Add New Reference.
  • Choose the type of reference you are entering (e.g. journal, book, Web page, etc.) under Ref Type.
  • Enter the required field information in the boxes and then click Save when finished.

 

Project Muse

  • Select citations.
  • Click on Email/Export Saved Results.
  • Select the RefWorks button.
  • Click on Export.
  • Log into RefWorks and your records should automatically appear in the Last Imported folder.

 

ProQuest

  • Select citations.
  • Click on Export.
  • Select Export directly to Refworks.
  • Log into RefWorks and your records should automatically appear in the Last Imported folder.

 

Science Direct (Elsevier)

  • Select citations.
  • Click on Export citations.
  • For Content Format, select Citations and Abstracts.
  • For Export Format, select RefWorks DirectExport.
  • Click Export.
  • Log into RefWorks and your records should automatically appear in the Last Imported folder.

 

SciFinder Scholar (American Chemical Society)

  • Select citations.
  • Click on Save As.
  • Name your file, and select Tagged Format (*.txt) as file type.  Save the file to a location you will remember (note: will default to SFSCHLR folder, not desktop!)
  • Log in to RefWorks.
  • Select References/Import from the toolbar.
  • Select CAS SciFinder as the data source and CAPlus as the database.
  • Browse to find the text file you saved to your computer.
  • Click Import.
  • Your records should appear in the Last Imported Folder.

 

Thomson Gale/InfoTrac

  • Mark records.
  • Click on the Marked Items folder, which is below the blue database banner near the top of the screen.
  • Click on the Citations Tools link in the red tool box.
  • Where it says Export to third party software, select RefWorks.
  • Click Export.
  • Log into RefWorks and your records should automatically appear in the Last Imported folder.

 

Web of Science/ISI

  • From your search results, select the items you wish to save by clicking in the checkbox to the left of the appropriate citations. Then click Add to Marked List.
  • A new button labeled Marked List appears at the top of the page once you have marked and submitted items. Click this button.
  • On the Web of Science Marked Records Output Options Form, leave the bold fields checked. Check the abstract or any other field if you want to include it in your RefWorks database.
  • Click the Save to File button. You should leave the option as Field Tagged.
  • A dialog box should appear, giving you the option to Save to Disc. Click Okay. The resulting file will appear on your desktop.
  • Log in to RefWorks.
  • Select References/Import from the toolbar.
  • Select ISI (Institute for Scientific Information) as the data source and Web of Science as the database.
  • Browse to find the text file you saved to your computer and click on Open.
  • Click Import.
  • Your records should appear in the Last Imported Folder.

 

WebSPIRS/SilverPlatter

  • Click on selected citations.
  • At Show, pull down menu and select Marked Results.
  • Click on floppy disk icon to save.
  • Select Export to RefWorks.
  • Under Save or Export these records, select Marked records.
  • Under Save these fields, select Complete record.
  • Click OK.
  • Log into RefWorks and your records should automatically appear in the Last Imported folder.

 

Wilson

  • Click on Exporting/Citing in the blue menu bar.
  • Select which records you want to export.
  • Under Download Record(s) into:, select Refworks’ Direct Export Tool.
  • Click on Export.
  • Log into RefWorks and your records should automatically appear in the Last Imported folder.

 

World Development Indicators Online

This database does not export citations in a format that is acceptable to import into RefWorks. It is recommended that you enter citations into RefWorks manually.

  • Log into RefWorks.
  • Choose References from the drop down menu tool bar and then choose Add New Reference.
  • Choose the type of reference you are entering (e.g. journal, book, Web page, etc.) under Ref Type.
  • Enter the required field information in the boxes and then click Save when finished.
