Department Chairs, Program Directors and Faculty Library Liaisons, I write to request your department/program’s assistance with a major initiative to move library materials to the Five College Depository. Attached is a preliminary list of older, little-used serial titles in your field which the Libraries are proposing for transfer to the Depository. By June 1, 2006 we need your department/program to identify any of these titles that should remain on campus rather than be moved to the Depository. Attached are procedures the Faculty Committee on the Library has developed for this review. Also attached is a list of titles for your division. Below is the context for this work. The Five College Libraries are in the final years of the Mellon Grant that has funded the creation and initial start-up costs of the Five College Depository, including the processing of library materials into the facility. The Smith College Libraries has been allocated approximately 75,000 volumes of space, and to date we have used only 20 percent of that allocation. In the next calendar year, the Depository staffing will be significantly reduced. To take advantage of the staff that is currently available for processing, we need to move as many older and little used journals as possible to the bunker during the remainder of 2006. To this end librarians have reviewed serial holdings for each department and program and have created lists of titles to be considered for transfer. We now need faculty to review these lists, and each department to advise the Libraries as to any titles that should not be sent to the Depository. As your program considers this project, I ask you to keep several points in mind. First, this is an iterative process in which faculty participation is critical; not only do we need to hear from you about titles that should not be transferred, but we also would appreciate your suggestions of titles that we may have missed. Second, material transferred to the Depository will still be available. One of the signature successes of the Five Colleges has been the sharing of our library collections – you will be able to get copies of transferred materials, borrow the physical volumes and even put them on reserve. Third, we really do need to free up shelf space – we have but two to eight years of growth space in our libraries, with critical shelving needs already developing in the Young Science Library and Josten Performing Arts Library. Although we might prefer to expand our capacity on campus, the college is faced with the realities of the extremely high expense of adding library space as well as the shortage of expansion space on campus. We believe the judicious use of the Depository for remote storage is the best solution to our space problems for now. We look forward to working with you so that we can take full advantage of the space available to us in the Depository. Thank you.
