GRADUATING SENIORS, Take Note!


Here's what's going to happen to all your Smith accounts:

  • Your BannerWeb account will remain active indefinitely.

  • Your Moodle account will be removed from the system the 3rd week in August.

  • Your network and Smith Mail accounts will remain active until September 30th. To request an extension, write to 4its@smith.edu.

  • If you have a Sophia account, your account will remain active until September 30th. To request an extension, write to 4its@smith.edu.

  • If you have a RefWorks account, see the RefWorks section below.

  • If you purchased your computer through Smith, please note that Technical Services cannot continue to repair your computer once you graduate.

Life after Smith Mail..

1. If you don't already have a personal non-Smith email account (Yahoo, Hotmail, Gmail*, etc.), now is the time to create one.

*One advantage of creating a personal Gmail account is that it's easy to transfer your saved Smith Mail messages to your new account. The process is described below.



2. Starting in mid-July, you can visit the Smith Alumnae Association website to sign up for your lifetime email-forwarding account, a free service hosted by the Alumnae Association.

  • Important: You must have a non-Smith email address to serve as your "background email address" before you can sign up for the forwarding service.

  • The forwarding service will assign you a "username@alumnae.smith.edu" address you can use forever. The service will automatically forward all messages sent to that address to your specified background email address.

  • If you later change your background email address, be sure to notify the forwarding service so messages sent to your "alumnae.smith.edu" address will continue to reach you.


3. As soon as you have an alternate address you want to share with others (e.g., @alumnae.smith.edu or any other non-Smith address), create a Vacation Response in your Smith Mail account to alert people about your graduation and new address. Here's how:

  1. In Smith Mail, click on the gear icon and select Mail Settings.

  2. In the General settings, scroll down to the Vacation Responder area.

  3. Turn the responder on.

  4. Fill in the fields as desired. Note that you don't have to choose an end date. A sample message is shown below:




  5. When you're done, click Save Changes.


4. To forward all new Smith Mail messages to another email address:

  1. In Smith Mail, click on the gear icon and select Mail Settings.

  2. Click the Forwarding and POP/IMAP tab.

  3. Open the first drop-down menu in the Forwarding section and select Add new email address.

  4. Enter the address to which you'd like your messages forwarded.

  5. For security, Google will send a verification message to that email address.

  6. Open your forwarding email account, open the confirmation message from the Gmail team, and click the verification link in that email.

  7. Back in your Smith Mail account, select the Forward a copy of incoming mail to... option and select your forwarding address from the drop-down menu.

  8. You can choose to keep Smith Mail's copy of the message in your inbox, or send it automatically to All Mail or Trash.

  9. Click Save Changes.

WARNING: The process described on the web page above is currently broken and has been identified as a known issue by Google. Until Google fixes the bug, you will have to forward all the Smith Mail messages you wish to save to your personal Gmail account manually. Click on the link for more information.

What if I have references stored in a RefWorks database?

If you set up an individual Refworks account at Smith and have used it within the past six months, you can continue to access your RefWorks account after graduation by going to:

http://www.refworks.com/refworks

Note that if you are off-campus, this access method requires you to provide a RefWorks group code when you log in. The access code is reset every spring, so to be sure that you always receive an email message with the new group code, be sure to make the following changes to your Refworks account settings while you are still on campus:

  1. Log in to your RefWorks account.

  2. From the Tools menu, select Update User Information.

  3. Enter the email address you will be using after graduation.

  4. Change the Type of User to Alumni.

  5. Click Update.

If you plan to access your account through another subscriber after graduation, and/or want to save your collected references in a format you can use with a different database program, please follow the instructions below before your Novell account expires.

If your Novell account has expired and you need your saved RefWorks references, please contact the User Support Center at 413-585-4487.


Accessing your RefWorks Account through a Non-Smith Subscription

If, after you leave Smith, you will be enrolled at a college or university with a RefWorks subscription, or employed by an organization with a RefWorks subscription, you can move your account.

To move your account, first save a backup copy of your RefWorks database:

  1. Go to the Refworks login page and enter your RefWorks group code (if you are off-campus) or your Novell username and password if you are on-campus, then log in to your RefWorks account.
  2. On the Tools menu, select Backup/Restore.
  3. Use the Backup option to save a backup of your database as a .zip or .rwb file.
  4. Save the backup file on your hard drive or a portable storage device.

Once you have access to your account through a different RefWorks subscription:

  1. Go to the Refworks login page and log in to your RefWorks account, or use the login page provided by your new institution.
  2. On the Tools menu, select Backup/Restore.
  3. Use the Restore option to add the .zip or .rwb file to your new account from your hard drive or portable storage device.

Saving your RefWorks References for Use with Another Database Program

RefWorks offers several export options that allow you to save your references for use with other programs. These options (available in Tools/Export References) are:

  • Bibliographic Software (EndNote, ProCite, Reference Manager). Saves the database in a tagged format that can import into another bibliographic management program. It is the format sometimes called the RIS Format or Reference Manager Format, and can be imported into Reference Manager, ProCite, EndNote, or any other program that supports the RIS Format.

  • BibTeX - RefWorks ID. Saves the database in the file format used with the LaTeX document preparation system.

  • Citation List. Creates a list to use when writing your paper offline. The format includes the RefID, Authors Primary, Title Primary, and Publication Year only. This format is probably not usable by another bibliography manager.

  • RefWorks Tagged Format. Saves the database in a format similar to the bibliographic management software format. This is a tagged format. However, the data layout is patterned after the RefWorks database, as opposed to tags that match with other bibliographic programs. Use this format for backup purposes and for sharing data with other RefWorks users.

  • Tab Delimited. Saves all your data in an organized manner with each field separated by a tab. It may then be loaded into other programs that are designed to read this type of format.

  • XML. Use this format to create your export file in an XML format.

Account and Password Update for Returning Students

Unless you are a graduating senior, your Novell Network, Smith Mail, Moodle, BannerWeb, and Sophia accounts will all remain active through the summer and into the fall.

When your Novell password expires, you will be reminded to reset it:

  1. Go to: http://www.smith.edu/changepass

  2. Enter your username and old password.

  3. Choose a new password that is at least 8 characters long. Remember that Novell won't allow you to re-use a password you've used before.

  4. Leave Smith Google Apps synchronization set to Yes.

  5. Click OK.

If the change is successful, your Novell and Smith Mail passwords have both been reset to your new password.

Prepping Your Computer for Off-campus Use

If you're planning to use your computer off-campus to connect to the Internet, please note:
  • If you will be using Broadband or DSL service, check with your Internet Service Provider (ISP) for specific TCP/IP settings.

  • If you will be using a cable modem, note that your network card must be enabled. Your cable modem may also have built-in wireless access; check with your ISP to confirm.

  • If you will be connecting wirelessly, your computer should automatically detect your available wireless networks.

Buying a new computer this summer? Please read this first!

If you're thinking about buying a new computer this summer, please keep in mind the minimum hardware and software configuration standards for all computers that will be connected to the Smith Residence Network (ResNet). These standards were developed to ensure that all students can take full advantage of ResNet and our networked software applications.

If you plan to connect your new computer to ResNet, be sure it meets the recommended minimum standards specified below:

We recommend buying a computer that supports both wired (Ethernet) and wireless computing. Wireless access is available across campus, but a wired Ethernet connection may be preferable in some locations or instances.


Computers from the Smith College Computer Store

If you buy your computer from the Smith Computer Store, it will be network-ready when you pick it up.

Note that ITS Technical Services repairs ONLY Dell and Apple computers purchased through the Smith Computer Store. They also serve as a shipping depot for Smith-purchased computers that must be repaired by the manufacturer.

All Dell and Apple computers sold by the Computer Store meet the recommended requirements for use on the Smith network. The Store's Dell computers come with a 4-year complete care warranty that covers accidental damage as well as manufacturer's defects. The Store's Apple computers come with a 3-year warranty.

These computers have been approved by Smith's Committee on Educational Technology for on-campus use by Smith students, faculty, and staff. They are known to work well on the Smith network with our standard software and campus systems, including Moodle and BannerWeb.
