MAKING GROUPWISE ADDRESSES WORK FOR YOU
Suppose you need to send an email message to Jane Stevenson,
a colleague on the other side of campus. Do you know the best way to address that message?
Automatic Name Completion
Your best bet is to take advantage of GroupWise's automatic name-completion feature and begin typing
Jane's name in the To: field of your message window.
If Jane has a GroupWise account at Smith,
GroupWise should find her in the System Address Book and finish filling in the letters for you. GroupWise
will also automatically use the preferred form of her address (jstevens@smith.edu)
to send the message.
Sometimes name-completion doesn't work because a recipient is listed by their nickname, instead of their
full first name, in the System Address Book. So if you don't find someone using their full first name
(for example, Elizabeth), try some common nicknames (such as Beth, Betty, or Liz). Conversely, if you
try a nickname and it doesn't work, try using a full name.
Another strategy is to set your Address Book to list names in last-name-first order, so you can
more quickly narrow down the choices. To change this setting:
- Click on Options then the General tab.
- Check the Enable Last, First name sort order check box.
By default the GroupWise address book and Frequent Contacts are the two books that the Name Completion uses. If you have personal address books and would like GroupWise to use the same Name Completion on those book you must add them to the Selected Book list.
- Click on Options then the General tab.
- From the Available list, highlight a personal book, click Add.
- Repeat these steps for each book you would like to add to the selected book list.
If you've set up GroupWise to search your Frequent
Contacts Address Book first, and there are any incorrect addresses in that book, you may run
into problems.
To avoid this, periodically review the entries in your Frequent Contacts book
and delete any incorrect ones, or set GroupWise so it doesn't search that address book at

GroupWise Username
For on-campus recipients, you can also send messages using only a person's GroupWise
username, without the "@smith.edu" ending.
Usernames are almost always composed
of the first letter of a person's first name, plus the first seven letters of their last name.
(Usernames must be unique, so there are a few exceptions to this rule.) Usernames can be shorter
than 8 characters, but never longer.
So to reach Jane Stevenson, you need enter only jstevens in the To: field. GroupWise
will automatically translate this into Jane's full address - jstevens@smith.edu - and
send the message.
Giving Your Address to Off-Campus Correspondents
When off-campus people request your email address, it's generally best to give them the username@smith.edu version.
This ensures that their messages will reach you by the the fastest and most reliable route.
We also recommend that you use this version of your address when you subscribe to a new list
service. It is much easier to cancel your subscription later if you included "email" in
your address when you first signed up.
