Retract a Sent Message

Messages you send to other Smith GroupWise users can be retracted if the recipient has not yet opened the message. Messages sent to recipients outside Smith's GroupWise system cannot be retracted.

  1. Open the Sent Items folder.

  2. Click on the item you want to retract and press Delete (Mac laptop users: function + delete).

  3. Select Recipient's Mailbox to delete the item from their mailbox only, OR select All Mailboxes to delete the item from both your mailbox and theirs.
  4. Click OK.

Message Properties

At some point, you may wish to check whether an email was delivered to a recipient, and whether it was opened and read. GroupWise provides a way to do this for messages sent to people within Smith's GroupWise system.

  1. Open the Sent Items folder.

  2. Locate the message you want to check on.

  3. Place your mouse pointer over the sent mail icon next to the message, hold down the Control key, and click on the message. Select Properties from the drop-down menu.

  4. You may need to scroll down to see all details depending on the length of the property sheet.

From the property sheet, you can confirm the users a message was sent to, if and when it was delivered, and whether it was opened or deleted.  In the example below, the message was delivered to five recipients on 9/11/2007 at 2:34 PM, but they opened it at different times.

Changing the GroupWise Message Font

You can change the default font for composing or reading messages.

  1. From the GroupWise menu, select Preferences then General.

  2. From the Default Compose View & Font make the selection either Plain Text or HTML then change the font and size to your preference.

  3. From the Default Read View & Font select either Plain Text or HTML.  Note that the HTML does not have a font field to select from.  It will be the font from the sender.

Deleting Incorrect Addresses that Reappear

We have all made mistakes when it comes to addressing an email message but the bad address does not have to come back to haunt us.  We have to delete the bad address from the Frequent Contacts Address book.

  1. Open the Address Book.

  2. Select the Frequent Contacts Book on the left-hand side.

  3. In the Look For:  text box, start typing the bad address.  The search feature should highlight the bad addres.  Select the bad address and press the delete key. (On a full-sized keyboard, the delete key is next to the end key. On a laptop, press down fn and delete at the same time. The delete key next to the + key and above the \ will not work.)

  4. GroupWise will ask you if you want to delete the Address Book item, click Yes.

Sorting Mail

The column headings in your Mailbox allow you to quickly sort your mail or show additional information.

The heading with the arrow symbol is the current "sort by" heading.  In the example below, messages are sorted by Date in ascending order.  To quickly change the sort-order to descending, click on the column name again.  when looking for a specific email message.Try clicking on the From or Subject to sort by

Most users view three column headings, From or Name, Subject and the Date the message was received.  There are other columns of information you may want to view or sometimes we even lose a column heading.

  1. Hold down the Control key and click with your mouse on a column heading. Select More Columns from the menu.

  2. This window displays the Available columns and Selected columns. For example if you would like to know the size of the email message and attachment, select Size.

  3. Click the Add button, this moves the Available column to the Selected side.  To change the column position use the column position Up and Down buttons.

  4. To remove a column, highlight a column heading on the Selected Column side then click the Remove button.
