CUSTOMIZING YOUR GROUPWISE ADDRESS BOOK

GroupWise Address Books typically contain far more information than can be displayed.  In GroupWise, you can decide which types of information will be shown for each of your Address Books individually.  This document explains how to select and display the data you need for any particular book.

Opening and Closing Address Books

  1. With the Address Book Open, click File, Open Book, if Open Book is not available to you, then all books are currently open otherwise click Open.



  2. From the Open Address Book window Select a book from the Available List and click OK.  This will place the book in the left pane of the Address Book.

  3. To close an address book, select the book from the left pane of the Address Book.  Click File, then click Close Book.  Closing a book does not delete it.

Specifying the Columns to be Displayed


Each book contains more information than can be displayed, to change what columns to view open the address book, select the book to customize.

  1. Click Edit, Columns, More Columns or right-click on a column heading and choose More Columns.

  2. The Address Column Selection window appears.



  3. From the Available columns side, select the column heading you would like to see then click Add.

  4. From the Selected columns side, select and remove unwanted columns.  (the columns are not deleted, they just will not show in the address book you selected to customize)

  5. To reposition a column, select the column from the Selected columns side, then click the appropriate Column position button.

  6. Click OK when complete.

Sorting an Address Book


With the Address Book open, select the book you want to sort.  Reminder:  Changing the displayed information allows you to customize each book to provide just the right information.

  1. The column heading that is underlined is the current sort. 

  2. To change the sort, Right-click on another column heading, the one you want to sort by.



  3. Click, Sort on 'column' First

Choosing a Display Name Format

GroupWise uses the Display Name Format feature when completing the To:, CC: and BC: fields.  You can select first name or last name order.

  1. Open the Address Book, select View, Name Format.



  2. By default, all the books are placed in the same format and the System Book is automatically placed in the format you choose.  This example shows last name then first name as the selected format.

  3. To change the format, select the one not currently selected.

  4. Example Note:  With this type of format you start the the To: field of a new message with the first characters of the last name and let GroupWise complete the name:

     

  5. Click OK.

Specifying Which Addresses are Stored as Frequent Contacts

The frequents contacts Properities is where you decide which addresses to save from either recieved or sent items and how long you want them to remain in the book. 

  1. With the Address Book open, select Frequent Contacts from the list of availalbe books. 

  2. From the File menu, choose Properties.

  3. In the Frequent Contacts Properties, window, click on the Options tab.





  4. From the Options Tab, Select Auto-saving on.

  5. From the Save addresses of items that are received, select From External sources.  There is no need to select from internal sources as these names are already in the Novell System Address Book.

  6. From the Save addresses of items that are sent, select To external sources.  Again, there is no need to saves internal sources. 

  7. Select the Delete addresses not referenced with time period you must then specify in the Time period.
