Cleaning Up GroupWise Email

Email messages can accumulate quickly, clogging your GroupWise mailbox and slowing system performance. This document provides quick and easy ways to identify and delete unwanted messages.

Folders to Check

In addition to your regular Mail folder, pay special attention to your Trash, Sent Items (GroupWise saves a copy of every message you send), and any folders you created to automatically store items sent by LISTSERVs. These neglected areas often harbor many unwanted messages.


Selecting Multiple Messages to Delete

Once you've identified the messages you no longer need, you can select and delete them in chunks. Here's how:
  1. To select a message, click in the checkbox next to the message to mark it with an X. You can select as many messages as you wish.

  2. To select most of the messages currently showing on the screen, click on the Select All link at the top of the message list. If you want to keep a few of the messages in the selected group, simply click on their X to de-select them.

    HINT: If you highlight too many messages, or the wrong ones, click on Clear All to start over.

  3. To delete the selected email, click on the Delete button at the top of your message list. This will place the messages in the Trash.

    HINT: The Delete button might not be visible if you've scrolled to the bottom of your message list. Just scroll back to the top and it will be visible again.

NOTE: By default, the web client displays 25 messages at a time. If you wish to increase or decrease this number, choose another value from the pulldown menu next to 25, then click on Display Next.


How to Clean Out your Trash

Deleted messages go into the GroupWise Trash folder. The GroupWise system automatically and permanently deletes any messages that have been in the Trash folder for 14 days, but you should still empty your Trash folder periodically, especially if you're going to read your mail remotely. Here's how:

  1. Click on the Trash folder on the left side of the screen to see a list of the messages in the trash.

  2. If you see messages you want to keep, select them by clicking in the checkbox next to each message, then click on Undelete.

  3. If you don’t want any of the messages, click on Empty Trash at the top right of the screen.

  4. If you want to delete only certain messages, select them, then click on Empty Selected Items.

Sorting Messages by Different Categories

Re-sorting your message list can make it easier to find unneeded messages. To sort your mail by a certain column, just click on that column's header. For instance, if you click on From, the mail will sort by the “From” address in the message, in ascending alphabetical order. To reverse the order, just click on the header again. Try sorting by these categories:

  1. From: Organizing by the From address lets you find emails from frequent correspondents that you don’t really need anymore. This is also helpful if you subscribe to lists that routinely email you messages you don’t want to keep.

  2. Size: Sorting by Size lets you quickly identify messages with large attachments, which can greatly increase the size of your mailbox. We recommend that you use "Save As" to save any attachments you want to keep on your hard drive or network drive, then delete the message that contains the attachment.

    If you don't currently have the Size column in your message list, you can add it by right-clicking on any heading, such as “Subject”, and selecting Size from the pop-up menu. Once the column is there, click on the column header to move the largest messages to the top.

    NOTE: If you wish to remove the Size column later, click on it and drag it up and off the column heading area. A small trashcan icon should appear next to the heading. Release the mouse button.

  3. Subject: Sorting by Subject is another good way to find LISTSERV messages that can really build up, as well as long series of messages about a certain subject that you no longer need.

Selecting Multiple Messages

Once you identify the messages you no longer need, you can select multiple messages and delete them in chunks.

  1. To select messages that are next to each other in your message list, click on the first one, then scroll down until you see the last in the series. Hold down the SHIFT key and click on the last one to select all the messages from first to last. If you scroll through the list and see one you want to keep, hold down the CTRL key and click on that one.

  2. To select multiple messages that are not next to each other, click on the first one, then hold down CTRL and click on each of the other messages you want to delete.

  3. To delete all the selected messages, right-click on any of the selected messages and select Delete and Empty from the pop-up menu.

    WARNING: This will purge the messages immediately. If you are at all unsure, choose Delete. This will put the messages in the Trash folder. Then refer to Cleaning Out Your Trash, below.

Deleted messages go into the GroupWise Trash folder. The GroupWise system automatically and permanently deletes any messages that have been in the Trash folder for 14 days, but you should still empty your Trash folder periodically, especially if you're going to read your mail remotely. Here's how:

  1. Click on the Trash folder on the left side of the GroupWise window to see a list of all the messages in the trash. You can use the sorting techniques described above to get a better idea of what’s in there.

    As you check each possible Sort order, select messages you know you don't want to keep, right-click on any selected message, and choose Empty Selected Items from the pop-up menu.

  2. If you're sure you don’t want to keep any of the messages in the Trash, right-click on any message in the list (without highlighting) and select Empty Trash from the pop-up menu.

  3. If you see any messages in the Trash that you actually want to keep, right-click on that message and select Undelete from the pop-up menu. This will return the message to your Mailbox.
