MANAGE THE SIZE OF YOUR GROUPWISE MAILBOX USING APPLE MAIL
As a Smith email user, it is your responsibility to keep the total size of your GroupWise mailbox as small as possible. Staying within your alloted quota of email storage space helps GroupWise operate more smoothly for all Smith users. You can check your actual usage and quota by logging into GroupWise WebAccess.
Apple Mail has a Quota Limits feature that helps you monitor and manage the size of your mailbox. The utility makes it easy to identify which of your folders are taking up the most storage space. You can then sort your messages by size and quickly delete or archive all messages you don't need in your mailbox.

When you initially setup your Apple Mail GroupWise account, the default setting is for Apple Mail to automatically "empty the trash" after messages are one week old. To change these settings,
- From the Mail menu, select Preferences.
- Click on the Accounts icon.
- Select your GroupWise account from the list on the left.
- Click on Mailbox Behaviors.
- The last area in this window describes Trash behavior. Below are the default settings. These settings will be appropriate for most people.

To manually empty the trash, from the Mailbox menu, select Erase Deleted Messages and select your account name.
Check Usage Using GroupWise WebAccess
- Login to GroupWise WebAccess.
- Your Mailbox Usage is in the upper-left hand corner of the window.
- Logout of GroupWise WebAccess by clicking on Logout.
- Control-click on your GroupWise Inbox.
- Choose Get Info from the drop-down menu.
- The Account Info window will open up, make sure that you have your GroupWise account selected from the Account drop-down and that you are viewing the Quota Limits tab.This window calculates the size of your inbox (including attachmens and folders).

Currently Used indicates the amount of space that your inbox takes up on the server.
The Size (in MB or KB) next to each folder indicates the space that the contents of that folder take up on the server.
- From the View menu, choose Columns and click on Size to add it to your mailbox columns.
- From the View menu, choose Sort and click on Size to sort by size. Now you can delete or archive large messages.
You can follow the same procedure to delete or archive old messages if you sort by Date Received or Date Sent.
To delete a single message, select the message and hold down the command key while you press the delete key.
To delete multiple messages at a time, select all the messages you want to delete and hold down the command key while you press the delete key. To select a range of consecutive messages, left click on the first message and hold down the shift key while you click on the last message. To select multiple non-consecutive messages, left-click to select the first message. Hold down the command key while you select the other messages you want to delete.
