CONFIGURING APPLE ADDRESS BOOK

Apple Mail works with Address Book to store all of your contacts. You can configure Apple Mail to use the Smith GroupWise directory in addition to your personal contacts.

For more information about Address Book, use the Address Book Help, found in the Help menu or the Mac 101: Address Book site.


Setup Apple Mail to use the GroupWise Directory

  1. Go to Mail and Preferences. Click on the Composing icon, then choose Configure LDAP.

  2. Click the Add button on this screen:

  3. Once you click Add, the Server Info box will appear

  4. In the Name field, enter: Groupwise address book

  5. In the Server field, enter: ldap.smith.edu

  6. Click the Save button.

  7. Click the Done button.

  8. Close the Preferences window.

You can now browse the Smith address book from your Mac.

Using Apple Mail to access GroupWise Address Book

Once you have setup the LDAP Groupwise address book, Apple Mail can use name-completion when you compose a new message. If you are familiar with name-completion from GroupWise, it works in the same way.

If you are new to name-completion, here is how it works: type the first name of your recipient in the To: field of your new message. Apple Mail will finish filling in the rest of the name for you. If Apple Mail begins filling in the wrong recipient, continue typing the name until you get the right person's address. Once you have the desired recipient's name in your To: field, hit the return key. Now you can begin typing the next recipeint.

Address Book Groups

  1. Open the Address Book from the Dock or from the Applications folder.

  2. From the File menu, select New Group.

  3. Type your desired group name and press the return key.

  4. To add a new contact to the group, make sure you have your new group selected in the Group column and from the File menu, select New Card.

  5. To add an existing contact to the new group, select the group called All and drag the contact into your new group.

  6. To send an email to all of the contacts in a group, create a new message in Apple Mail and type the name of the group in the To: field then hit the return key.

Add your Personal Contacts

  1. Open the Address Book from the Dock or from the Applications folder.

  2. To add a contact, from the File menu, select New Card.

  3. Now, in the card column, you can add as much (or as little) information as you would like.

  4. To send an email to a personal contact, type the name of your contact into the To: field of a new message and hit the return key.

Add the Sender of a Message to the Address Book

  1. To add the sender of a message to your address book, select the message.

  2. From the Message menu, select Add Sender to Address Book. By default, Apple Mail will add the sender to the All group.

Add a Previous Recipient to the Address Book

  1. To add a previous recipient to your address book, from the Window menu, select Previous Recipients.

  2. Select the contact you want to add and click Add to Address Book. If a contact is already in the address book, there will be a rectangular card icon next to the left of their name. (In this example, Sandra Bycenski is the only contact in the address book.)

Import contacts from a Windows GroupWise Desktop Client Address Book

If you are switching from a PC to a Mac, this is the easiest way to import your Frequent Contacts or another address book from GroupWise Desktop Client for Windows.

  1. Open GroupWise Desktop Client for Windows on a PC.

  2. Open the Address Book.

  3. Select the Address Book that you wish to export. In this example, we will export the Frequent Contacts address book.

  4. Go to File > Export ...

  5. From the pop-up window, select Entire Address Book...

  6. In the Address Book Export window, navigate to your H: drive (or another location). From the Save as type drop-down menu, select vCard Addresses (*.VCF). Name your export file. Click Save.

  7. Repeat the previous steps with all of your other personal Address Books. Do NOT try to export the Novell GroupWise Address Book or the Novell LDAP Address Book.

  8. On your Mac, connect to your H: drive. (For instructions, see this TARA page: Connecting to your DATAVOL on the Novell Network)

  9. Double-click on the exported address book (ex: frequentcontacts.VCF ). Apple Address Book will launch with a dialog box similar to the one below. Click Add.

  10. Your imported contacts are now available in the Last Import Group and under All.

  11. For information about organizing your contacts, read the Address Book Groups section of this document. Once a contact is added to your Address Book, it will be available in Apple Mail as well.
