LIFE AFTER GROUPWISE


If you are leaving Smith and your GroupWise email account is about to go away, this document explains how to save what you need from GroupWise for use with a different email account.

Initial Steps

  1. Get another email account if you don’t already have one. Google and Yahoo! both offer free accounts.

  2. Start using your other email account as your primary account, especially for official correspondence (such as job applications.) You don’t want to have to tell a prospective employer your email address has changed in the middle of the application process.

  3. Start to inform people now! Here are some suggestions:

    • Add a note to your GroupWise signature that your account is going away in September.

    • Consider sending a message to the people in your address book.

    • To handle new email coming into your Smith account, create a forwarding rule that redirects incoming messages to your non-Smith account  For instructions, click here.

  4. Graduated students: You are eligible to register for the email- forwarding service provided by the Smith Alumnae Association. This service gives you a permanent “front-end” Smith email address. Messages sent to that address are automatically forwarded to your your actual "background" email account. You can change your background account any time you want, but your Smith alumnae address will stay the same.

    The Alumnae Association service is not an actual email account. Instead, it gives you a constant address that shows you are a Smith alumna, in the format: username@alumna.smith.edu

    For more information, go to http://alumnae.smith.edu/, click on Alumnae Directory and Email, then on New user. The forwarding service becomes available to graduated seniors in mid-July.

Saving Your GroupWise Messages

There are at least 3 different ways to save your GroupWise messages so you can continue to view them after you leave Smith.

Use GroupWise Remote Mailbox
Use an IMAP email client
Forward your existing email to another account


Use GroupWise Remote Mailbox (Windows users only)

You can install the GroupWise client in Remote mode to preserve a stand-alone copy of your GroupWise mailbox. Click here for instructions.

Advantages: You will have a complete copy of your GroupWise mailbox on your computer, and can still find and view all saved messages.

Disadvantages: Once your Smith account is gone, you won't be able to reply to messages in your GroupWise mailbox or send new messages from your mailbox.



Use an IMAP Client

You can use an IMAP email client, such as Thunderbird for Windows and Macintosh, or Apple Mail for Macintosh, to save your messages.  (Note that Thunderbird is free, and Apple Mail comes pre-installed with the Macintosh operating system.)

Advantages: Your email will be downloaded automatically to your computer - no forwarding “by hand.”

Disadvantages: You must remember to move your Smith email into a "local" folder in your IMAP client before your Smith account goes away.

Forward Your Existing Email to Another Email Account

If you use a web browser to read email in your non-Smith email account, you may want to forward all the mail you want to keep to that new account.

Advantages: All your email is stored in one account.

Disadvantages: You have to forward the email, and your online account has to have sufficient space to receive all your saved Smith email.

The easiest way to forward multiple messages is to create a special forwarding rule. For instructions, click here.

Note that you must use the GroupWise desktop client for Windows to create this rule, so if you don't have client installed on your computer, be sure to create this rule before you leave Smith!

Saving your Personal Address Book

The easiest way to save your personal addresses to use with another email account is to export them to VCard format, convert them to other popular formats, then import them into your new email account. For full instructions, click here.
