SAVING YOUR GROUPWISE ADDRESSES FOR USE WITH ANOTHER EMAIL ACCOUNT


The easiest way to save the personal addresses stored in your GroupWise address book(s) is to:

  1. Export your addresses in vCard format.
  2. Convert them to a format that works with your new email account.
  3. Import your converted addresses into your new email account.

Note that you must use the GroupWise desktop client for Windows to export your addresses. If you don't have the Windows desktop client installed on your own computer, be sure to complete Part 1 below using a Windows computer before you leave campus.

If you don’t yet have another email account, you can wait to complete Parts 2 and 3 until you do.



Part 1. Export your addresses to vCard format.

NOTE: This requires the GroupWise desktop client for Windows!

  1. Log in to GroupWise using the Windows desktop client.

  2. Click on the Address Book button.

  3. Select a whole address book or individual addresses:

    1. To export your entire personal address book, right-click on its name and choose Export book.

      NOTE: DO NOT export the whole Smith College address book!

    2. To export only selected addresses, click on one address to select it, then use Ctrl-click to select each of the other addresses you want to export.

      When all desired addresses are selected, right-click on any selected address and choose Export.

  4. In the Address Book Export window:

    1. First, click on the drop-down arrow to the right of the Save as type field (circled below) and select: vCard Addresses (*.VCF)




    2. Second, enter a name for your address book in the File name field.



    3. Third, navigate to the location where you want to save your .VCF file and click OK. The file will be saved in that location.

      Note: If you're working on a lab computer, your only choices are to save the file on your network (H:) drive, or on a removable device such as a USB drive.

Step 2. Convert your addresses to commonly used formats.

Some email services and clients accept the vCard format, while others do not. We recommend converting and saving your addresses in several different formats to be sure you'll have one that works for you.

The Mozilla folks have kindly written an application that converts addresses in vCard format to other formats. Here's how to use it:

  1. Start at this webpage: http://labs.brotherli.ch/vcfconvert/index.php





  2. Click on the Browse button and navigate to your saved .VCF file.

  3. Select a format from the drop-down list:

    1. For Gmail, select Gmail (CSV).

    2. For Thunderbird or Apple Mail, select LDIF.

    3. If you aren’t sure, try LDIF.

NOTE: This application can also create a variety of .CSV files, where the data is separated by tabs, commas, or semicolons. See the section on importing your saved addresses, below.

  1. Click convert.

  2. When the conversion is done, your browser will open a download window to download your converted file. Click Save to disk and choose where to save the file. The file will have the same name as the original, with a different extension.

  3. Retain all of the versions you created (.vcf, .ldif and/or .csv) to give yourself the most options. Remember to save them in a place you can access after you log out of GroupWise. (You could even email them to yourself.)

    Don’t worry about the file formats and names; you don’t have to understand what they all are.  The important thing is to remember which file extension goes with which format:

    .ldf = LDIF, an LDAP format; sometimes called Netscape/LDIF

    .csv = CSV, also called comma-separated or comma-delimited (though the separator may actually be a tab or semicolon.)

    .vcf = vCard format

Step 3. Import your saved addresses into your non-Smith email.
Almost every desktop and web-based email client offers the ability to import address books. Make sure you have your exported address book files handy. Look at the file formats your email client can import, and then choose the converted address book file that matches.

Here are instructions for importing addresses into some common email clients:

Thunderbird:

  1. Click on Tools, Import.
  2. Select the Address Books radio button. Click Next.
  3. Select Text File (LDIF, .tab, .csv, .txt) as the import type. Click Next.
  4. LDIF will be the default file type selected in the browse window. Browse to the LDIF version of your address book file, and click Open.
  5. Thunderbird will import your address book, and it will appear under the Address Book listing.

Apple Mail:

  1. Open your address book, and click import
  2. Browse to your address book file ?

Gmail:

  1. Make sure you export your address book in Gmail (.csv) format.
  2. Log in to your Gmail account.
  3. Click Contacts on the left side of any Gmail page.
  4. Click Import.
  5. Click Browse... and locate the CSV file you'd like to upload.
  6. Select the file and click Import Contacts.

Yahoo! Mail:

  1. Log in to your Yahoo! email account.
  2. Click Addresses at the top of the page.
  3. Click Import Your Contacts from Another Application.
  4. Choose Netscape (.LDIF file) as the file type. Click Continue.
  5. At the Step 2. Export Contacts… page, just click Continue. (You’ve already done this part.)
  6. Browse to the .ldf version of your address book file, and click Continue.
  7. The added contacts will be displayed.

If your email client does not appear in this list, check in its help files for information about importing address books. If it turns out that your email application will accept only .CSV format, for example, check the documentation to see which type of separator it requires (tab, comma, or semicolon) and convert your .vcf file again. (Commas are the most common.)
