USING THE BOX CLOUD-STORAGE SERVICE


Smith has contracted with Box.com to provide online cloud-storage accounts for all Smith students, faculty, and staff. Your Smith Box account can store up to 25 gigabytes of content, far more than a standard Google Drive account, and supports a variety of collaboration and file-sharing options. (Note that ITS supports Box and Google Drive, but not Dropbox.)

Your Box account has extensive file-sharing, collaboration, and version-tracking features. With Box, it's easy to share and edit files with other collaborators and access your files from any mobile device.

Note that you must have a working @smith.edu email address to have a Smith Box account, but you will be able share your files with anyone with a valid email account.

Important Security Alert: Before uploading classified data to any cloud storage service, including Box, ITS recommends discussing your plans with your department chair to ensure that you are following proper security guidelines.

Logging In to Your Smith Box Account

Smith’s Box.com website uses a type of single sign-on (SSO) user authentication called Shibboleth. If you are already logged on to Moodle (or any other Shibboleth-enabled Smith system), you will not have to re-enter your username and password.

To access the Smith Box.com site:

  1. Open a web browser and go to: http://smith.box.com

  2. On the right side of the screen, you should see this box:

IMPORTANT: If you do not see the Part of Smith College? option, please check the address you entered and try again.

  1. Click the Continue button.

  2. If you are already logged in to a Shibboleth-enabled service like Moodle, you will be taken directly to your Box account. Please skip to the next section and review the logout procedures.

  3. If you are not already logged in to a Shibboleth service, you will see the Smith Shibboleth login screen:

    1. Enter your network username and password. Note that if your Smith Mail password is different from your Moodle password, you should use your Moodle password.

    2. Click Login.

  4. Your Box account will open. If this is your first login, Box will automatically create an account for you.

Logging Out of Your Box Account

NOTE: It is essential to follow the steps below carefully, especially on public computers, to avoid unauthorized access to your Box account via your Shibboleth login.

There are two ways to log out of smith.box.com:

  1. Use the Box.com logout link, then click a special Smith logout link to complete the logout process.

  2. OR, click the Smith Single Sign-On Logout link at the bottom of any smith.box.com page.

Method 1. Using the Box.com logout link

  1. Locate your name in the upper right of the Box screen and click Logout. This will return you to the smith.box.com login screen.

  2. Look for the Welcome text on the left and the blue complete your logout link below it:


  1. Click complete the logout. Note that failure to take this step may expose your account to unauthorized access.

  2. Be sure to close your browser window when you're done. This is especially important on public computers!



Method 2. Using the Smith Single Sign-On Logout link

  1. Locate the Smith Single Sign-On Logout link in the bottom right of any smith.box.com page, as shown below:


  1. Click the Logout link to log out of your Box account and out of the Smith Single Sign-On service in one step.

  2. Be sure to close your browser window when you're done. This is especially important on public computers!
