JobX Instructions for Summer Student Work

Summer work for students is not part of work-study because there is no work-study outside of term-time. Therefore all summer jobs must start the day after the last day of exams (May 12) and end the day before classes start (September 6). You may hire any student you wish during the summer - grad students, non-aid, etc, but please remember that they are not eligible to keep that position into the 2012-2013 academic year unless they are on work-study.

How to Advertise A Job

Log on to JobX at: https://smith.studentemployment.ngwebsolutions.com

To advertise, you move the job into List Mode using Manage Jobs. Please be sure that the job has the correct number of openings, correct dates, and an accurate job description. You will use an SU number issued by the Budget Office rather than the CW numbers of the past. If you do not have one, contact budget@smith.edu, providing:

1) Job Title
2) Four digit org number (Department) where the position will charge (or grant number)
3) The Name of the time approver for the position (Banner allows for one approver)

Creating A New Job
If the job is new, click Add A New Job and choose SUMMER in the drop-down box on the next page. Proceed to fill out the entire job description with a valid SU number, etc. You can set your job up to collect applications online. When you have enough applicants, you may move the job into Review Mode using Manage Jobs to take it off the web.

It is very important that summer jobs be set up as such and must have a valid SU number in them. Once students are hired, Payroll will pick up the data daily and create a time sheet for them on BannerWeb. Students must log on regularly and post their hours, then submit the time sheet electronically to the Approver on a timely and weekly basis.

Who Can I Hire?
You will be able to hire any undergraduate or graduate student into the job for the summer, except those who have graduated or withdrawn. Graduated or withdrawn students must be hired as non-students Casual Workers through Human Resources. Please be aware that if you hire a non-aid student or graduate student, he/she will not be eligible to keep the job during the academic year, regardless of the student's summer training. The job will need to be advertised to students who have financial aid with work-study per College policy.

How To Hire A Student
To hire, you click Hire A Student. You will type in their name, ID number, number of hours, and the pay rate you choose for that individual (range = $8.50 - $9.75 per hour in 25 cent increments). They must pass Validation (i.e. they must have an I-9, W-4, M-4 and Direct Deposit on file with Payroll). If they do not pass Validation, contact Payroll. ALL students need to have all of the mandatory paperwork on file for Payroll before they may legally work or be hired. They will not pass Validation in JobX otherwise. Never allow a student to work until she has been officially hired on JobX.
