Posting & Hiring for Spot Jobs

Spot Jobs are short-term jobs in any on-campus department, for instance stuffing envelopes for a mailing or being a scorekeeper at an athletic event. Off-Campus Work-Study agencies can not use this option because of the nature of those jobs. To post a Spot Job you have to first create the job on your Control Panel by clicking on Add A New Job for (your department). Choose On-Campus Spot Job in the drop-down menu. This will allow you to go through the hiring process you are familiar with for all other jobs. Do not use this option for anything other than temporary Spot Jobs. Under 'Category' on the job description page, choose Spot Job again. Even though the form asks you to indicate how many hours a week the student will work, in this case it is best to indicate just 1 so the hire will not interfere with the student's maximum allowed hours per week under normal work-study positions. Indicate the length of the job, etc., then click Submit. You can then click Manage Job and put it live on the web by choosing List. When the job is filled, de-list it by using Manage Job and choosing Review Mode. This means your Spot Job will exist permanently under your department heading and any time you need to use it again in the future you can simply update it and List it on JobX.

When you are ready to hire, you can either hire on-line applicants or input the name and ID, etc., of the student(s) you have chosen and go through the Validation Process. If a student is lacking *any* of the mandatory Payroll forms she can not be hired until she has gone to Payroll and completes them. This means that by law she may not work. Once you've done the Spot Job Hire, Payroll will load that student's hire into BannerWeb and they will create a timesheet under the SP # you've chosen for that job. Please make sure the student enters her hours on a timely basis. By law, students must be paid within 2 weeks of performing a job.

This new process is meant to insure that all working students have first completed their mandatory payroll forms and that you will be able to keep a Spot Job on your Control Panel to use again as needed. Please do not use this hire type for long-term, regular student jobs.
