Your Work-Study Opportunity
Your official financial
aid award letter offers you an opportunity to earn money at an on-campus
work-study job. You may
choose to apply these earnings toward your bill, to buy books and supplies,
or to use for other expenses. Students are not required to work if they do not wish to
do so. However, the College will not replace the unearned work-study with
grant aid. Financial aid students with work-study have priority for all jobs offered
on campus, and possibly those positions listed as “Off-Campus
Work-Study” or part of the “America
Reads/America Counts” tutoring programs if you have Federal Work-Study (FWS). Students awarded Campus Work-Study (CWORK) are limited
to working on-campus only.
The Student Employment
web page offers a great deal of information regarding student work, on and off
campus, as well as a link to the job listing website, JobX. Positions on JobX are constantly being added or removed so you are
encouraged to check the site frequently or sign up for JobMail which lets you know via email when a job you might
be interested in is posted.
Please note that the Student Employment Guide is required reading for any student planning to use the work-study portion of the aid package.
Off-Campus Work-Study
allows you to work at one of thelocal non-profits with prior Smith College approval and America
Reads/America Counts Tutoring is a tutoring program at local schools and child care agencies that allows you to tutor children up to
6th grade in reading and/or math. Both allow you to get off campus and into the
community and provide excellent opportunities. Links to these job listings
and to information pages are located on the Student Employment website.
Assistance is available
from the Student Employment Coordinator if any student has difficulty locating
work due to medical restrictions or a class or athletic conflict.
Some students also like
to look for jobs off campus that are not work-study related such as childcare,
clerical work in local for-profit agencies, etc. Those advertisements can also be found
on the JobX website under Off-Campus Non-Work-Study.
Payment Details
Before you can be paid,
the The Payroll Office is an entirely separate department from Student Employement.
They will require you to fill out a W4 Employee’s Withholding Allowance
Certificate (required by the IRS, an M-4 Form, and an I-9 INS Employment Verification
form. You are also encouraged to set up Direct Deposit of your paycheck into a bank account since Payroll has gone
paperless this year and will have to complete a Direct Deposit Decision form. Without all of these on file, you may not work and
can not be paid. Representatives from Student Payroll will be at Central Check-In when you arrive on campus and you should be
prepared to complete these forms at that time if you plan to work. You can download the forms from the Student Payroll website.
When you are hired into a position that information is fed to the Payroll Office, which is entirely separate from
Student Employment. Payroll will build a timesheet for that position which you can then access using BannerWeb. You
will use BannerWeb to input all of your hours worked over a 2 week period, submit it for approval on schedule, and
your supervisor will then approve your hours online. Details regarding the payroll schedule and instructions on how
to use BannerWeb can be found on Payroll's website. Please direct all payroll
inquiries to that office. They can be reached at payroll@smith.edu, extension 4401 or 2213.
Arrangements can be made
to direct all or part of your paycheck to your tuition
account by using the Payroll Deduction Form available in Student Financial Services.
