Planning

Provide consultation, event planning tools and logistical coordination. The EMO can provide are: event and budget planning checklists, floor plans, policies and procedures and a planning time- line. We will consult with the client throughout the process to troubleshoot and assist, when needed, to ensure a successful event.

Assistance

Provide consultation and event planning tools as well as logistical coordination and advice to college departments when it has been determined that the EMO will be involved with the event. This also includes instances when a Smith department is sponsoring or co-sponsoring an event with an external organization. In some cases, a member of the EMO will be identified as a contact and will work with the client (for example, a high profile keynote speaker or performer, and all-college event, or a major/national conference).

Provide Event Service Request (ESR) management and collaboration between the client and the campus departments providing service.

Summer Programs

The EMO coordinates all residential and non-residential summer programs held on the Smith campus between the last Monday in May and the third Sunday in August. A member of the EMO staff will be the primary contact and will direct the scheduling and planning process. Contracts, insurance requirements and cost projections are coordinated within this office.

Management

Bullet

When a college event is managed by the EMO, a member of the EMO staff will be the primary contact, direct the planning process, and have full responsibility for the event. EMO staff will coordinate the entire event and provide on-site coordination. Examples: Opening Convocation, Rally Day, presidential events, ground breakings, dedications, etc.

Space Scheduling

The R25 online calendar system is managed within the EMO. Online requests for use of college space are received by the EMO and forwarded to the appropriate space scheduler for processing.
