GUIDELINES FOR CO-SPONSORSHIP
& SPONSORSHIP OF EVENTS BY SMITH COLLEGE DEPARTMENTS
Definitions
A co-sponsored
event is one in which a Smith department is fully engaged with an
external organization in the planning and development of the event, and both
entities are responsible for running the event. The event is then considered
a Smith event for purposes of fees, publicity, etc.
A sponsored
event is one in which a Smith department is not
involved in determining program content or publicity, but does facilitate
date and space requests for an external organization.
In both cases, departments must:
Identify a department
contact to serve as the link between the college and the external organization.
Initiate the space
request and oversee the event.
Complete an Event
Service Request form (ESR) for all services, publicity, staff, equipment and technical
needs.
Serve as the on-site
coordinator at the event.
In the case of co-sponsored events, departments must:
Contact the Events
Management Office for event planning and guidance (for example: date
consultation and selection, liability insurance requirements, projected costs
and publicity procedures)
Identify Smith College
and the external
organization as co-sponsors of the event in all advertising and promotional materials.
In the case of sponsored events, departments must:
Make the initial contact
for requesting space through the events coordinator,
following up with a written notice from the department chair that the event
is being sponsored by the department.
Comply with all rules
and policies pertaining to external organizations. All liability insurance
requirements will remain in effect,and fees will be determined
based on the requirements of the event, although no rental fee will be charged for
the space.
Include Smith College's name in publicity for location purposes,
but must not imply co-sponsorship of the event, or endorsement of the organization or its purpose.
Note
External organizations that have scheduled
events and are already working directly with the Events Management Office may not
attain sponsorship at any later date to reduce or waive fees.
