Application for Endowed Lecture Funds

Please be sure to provide all information requested. Detailed information is essential for the Committee to weigh the proposal's merits. The Lecture Committee encourages all applicants to check with interested departments/programs and the Office of College Relations (ext. 2162) to avoid scheduling conflicts. The Committee also looks with favor on those proposals that have obtained supplementary funding from other sources. Lectures which supplement specific courses may be scheduled during daytime class hours; however topics carrying broad appeal should be scheduled during non-class periods to enable as many community members to attend. All lectures sponsored by endowed funds must be open to the public.

Funds will be transferred after the event. An email outlining the use of the funds, along with the ORG # to complete the transfer should be sent to Jane Martel at jmartel@email.smith.edu. Applicants are encouraged to consult with their departmental Administrative Assistants for assistance in planning their event.

Description of event: Explain the theme or issue around which the event is organized. Please describe the event's format (i.e., lecture, symposium, film series, etc.), and list the proposed presenters with information about their contribution. Please attach a brief bio and statement of the speaker's contribution to his/her field and why the talk is of interest to the community. Please include the lecturer's contact information, name, address, email, etc.

Proposed budget: Only one allocation of funds will be made, try to anticipate all expenses.
NOTE: The Lecture Committee will provide only $100 to support class visits.

1. Honorarium: The Committee will not grant honoraria that are direct donations. Honoraria awarded by the Committee will normally be no more than $500.00. The committee recognizes that some speakers command fees as opposed to honoraria. In such cases, please provide justification for the fee and a description of the lecturer's achievements on a separate page.

2. Travel: Please keep travel costs separate from the honorarium. Air and land travel costs should be for the least expensive fare available. Please be sure to note different modes of transportation, including shuttle or cab expenses. Please go to the Controller's website for the current College mileage reimbursement rate. Commercial ground transportation between Smith College and Bradley Airport will be paid at the maximum rate of $45 one way.

3. The Committee will fund a maximum of two nights for off-campus lodging at the reduced rates that have been negotiated at area hotels by the purchasing department. Current rates can be found at: http://www.smith.edu/purchasing/campuscontracts.php.

4. Entertainment: The Committee will support a reception and other gatherings for faculty, students, and the guest speaker, and will look most favorably on proposals that involve students in these social events. Up to $500 may be requested for such gatherings. Meal expense may not exceed $65 per person as per Smith College Travel and Entertainment Policy.

5. Publicity: Posters are the most common method used for event publicity. Please contact Central Services for details about reproducing and distributing posters. $75 will cover this expense.
