The purpose of a written contract is to provide information as to how much will be charged - the who, what, where, time of the service, and whether other stipulations are to be met and by whom. Completed written contracts can eliminate the frequent misunderstandings of verbal agreements. The Director of the Campus Center and/or the Assistant Director for Student Activities should sign all written contracts on behalf of students and student organizations. The Assistant Director of Residence Life must sign all written contracts on behalf of house communities. The Smith College Controller must also sign contracts over $10,000. Students are prohibited from signing any contracts as it makes them personally liable for fulfilling the terms of the contract should a problem arise.
If you are planning an event that involves an outside party, you need to have a contract. A standard Smith College Contract has been prepared to facilitate the most common types of contractual relationships: hiring an entertainer and working with a caterer. Contracts are available through the Campus Center website under Student Organization Resources. Please complete the "Contract Request Form" and submit the form to SACR@smith.edu Contracts will be generated and mailed out to the entertainer/vendor/caterer within 48 hours. You will be notified when they come back to the Campus Center Office or the Office of Residence Life and you will be asked to pick up the fully executed contract and bring to the Student Bank for payment. Guidelines for vendor contracts can be found under the section, "Vendors and Entrepreneurs," in the Guide to Student Organization and Event Planning 2009-2010.
